Job Description

Under the direct supervision of the VIA Custcare Team Leader, the VIA Custcare Officers are in-charge of contacting Vendors of D&B’s client also known as Buyer. This is to discuss VIA program and process. The objective is to ensure that Vendor Pre-qualification requirements are communicated and clearly understood by the Vendor’s Authorized Representative.

Responsibilities

  • Call endorsed Vendors of Buyer
  • They have to verify account information (Company name, head office address, telephone number, email address and Authorized Representative) and make sure prequalification are processed accurately.
  • Develop strong customer relationships
  • To make sure that the following items must be clearly discussed and understood by the Vendor on the first call attempt (Unpaid Vendors):
    • Confirm receipt of email
    • VIA Walkthrough: purpose of invite & how to access VIA
    • Notify vendors to prepare soft copy of the list of requirements
    • Ask which document/s are unclear
    • Obtain Estimated date of payment & completion
    • Highlight 3-month payment policy
  • Send email invites to all endorsed Vendors of the Buyer.
  • Answer all incoming queries via email, this includes but not limited to technical, document related, payment, general queries etc.
  • Acknowledge email from the Vendor and give necessary action.
  • Daily update of DVAMS monitoring system, this includes email response and feedback from the Vendor and scheduling of email feedback (if applicable)
  • Be able to manage and take ownership of the resolution process through email for all Vendor related issues within the assigned TAT

Minimum Qualifications

  • College graduate of any course, preferably any Business course
  • Effective English communication skills (verbal & written)
  • Excellent customer service skills & great enthusiasm for helping customers
  • Must be able to prioritize & complete all job duty requirements
  • Good time management skills, active listening, analytical thinking, detail oriented & the ability to multi-task
  • Has initiative to work both independently and within team
  • Ability to continually display positive attitude
  • Familiar with Microsoft Office
