Executive Assistant  

The Executive Assistant is responsible to support the Head of Partnerships. You will be the one to organize and maintain the executive’s schedule and assist them by performing a variety of administrative tasks. You must be a quick professionals with great time-management and multitasking abilities. It is with their diligence and competence in their work that executives can focus on their managerial responsibilities without worrying for other tasks. The goal is to contribute to the efficiency of the overall business by ensuring all assigned administrative duties are carried on timely and efficiently.

• Responsible for scheduling all the meetings, travel, and other appointments
• Filing and retrieving corporate records, documents, and reports.
• Researching and conducting data to prepare documents for review and presentation by the executive.
• Helping prepare for meetings.
• Accurately recording minutes from meetings.
• First person to meet the visitors before meeting with the executive.
• Manage the flow of information to members of the executive leadership team. They may screen phone calls, open and sort mail, and summarize reports and memos that are received before passing the information on to the Head of Partnerships.
• Maintain confidentiality and exercise discretion

• Proven experience as executive secretary or similar administrative role
• Proficient in MS Office and “back-office” software (e.g. ERP)
• Ability to organize a daily workload by priorities
• Must be able to meet deadlines in a fast-paced quickly changing environment
• In depth knowledge of office management and basic accounting procedures as well as technical vocabulary of relevant industry
• Excellent organizational and time-management skills
• Outstanding communication and negotiation abilities

• Degree in Business Administration or relative field
• Strong analytical and planning skills;
