Job Description
We are looking for an Executive Assistant to the Chief Operating Officer (COO).
This is an incredible opportunity to provide direct support to our COO, whose focus is on scaling our Service Delivery product and the amazing teams who make up Service Delivery Operations, Contributor Experience, and Customer Success! The ideal candidate will have demonstrated administrative execution competencies, organizational capabilities, a passion for driving impact through operational excellence and rigor, experience navigating complex global requirements and regulatory constraints, with a collaborative and positive attitude.
- Take a proactive approach to administrative support for COO project tasks, with a keen eye on prioritization and an ability to adjust to shifting timelines
- Create, document, and implement SOPs; ensure consistent documentation in support of workflow, process, and playbooks
- Research, prioritize, and follow up on incoming issues or requests to COO; be a team partner and assist Service Delivery teams to conduct process and document research, safeguarding data integrity with regard to confidentiality
- Assist with preparation of reports and presentations
- Organize meetings, including scheduling, preparing outlines, and preparing agendas
- Take meeting minutes during meetings that the COO attends and ensure action items are delegated
- Book and arrange travel, transportation, and accommodation as needed
- Balance strong execution on day-to-day responsibilities with WorkCo’s long-term vision and roadmap, taking into account employees’ needs and clients’ expectations
Minimum Qualifications
- Must be able to work east coast USA business hours (EST/GMT-4)
- 4+ years of work experience supporting at the senior executive (C-Suite) level in high-growth environments
- Proven track record and mastery of organizational, prioritization, interpersonal skills
- Experience with Google Suite, adaptable to becoming a power-user of Notion and Asana for communications and project planning
- Ability to thrive in a fast-paced environment with ever-changing priorities
- Reputation for integrity, dedicated work ethic, and desire for ownership & accountability
- Demonstrated track record of problem-solving
- Experience in driving and managing multiple projects under timelines and shifting priorities
- Experience working cross-functionally with all levels of management, both internally and externally Relentless execution ethic and lots of energy
- Extraordinary writing abilities, with a knack for structured thinking, concise summarization, and dynamic tone
- Native-level mastery of English, additional languages a plus
