Job Description
Primary Duties and Responsibilities
- Maintains the general look of the office in terms of cleanliness and free of clutter.
- Making sure that all supplies are at par stock and all equipment and anything related to running the office are in good condition.
- Stocking and access of bottled water and sodas for office guests.
- Monitoring of attendance of interns, contributors, and consultants.
- All marketing financial concerns and payables.
- Organizing office policies, memorandums, procedures, records, and filing system.
- In charge of scheduling, routing, dispatching, and monitoring of messengers.
- Making sure that the documents from marketing is properly transmitted to the main office.
- Ensure all employees (office personnel) necessary for daily operations are present and find a replacement or a way if anyone is absent.
- Monitoring company phone lines and making sure all post paid plans are
- updated, paid, and has the most cost-effective plan for the company.
- Routing and supervision of messengers.
- Monitoring of all phone lines maintained by the company in tandem with the auditor and the administrator.
- The primary person to receive and assist office guests regarding business meetings, inquiries, and concerns for each outlets that cannot be addressed during the day operations.
- Purchasing of items that are needed in the office that current suppliers cannot provide.
Secondary Duties and Responsibilities
- Monitoring of office operations and conserving energy by turning off all unnecessary electrical apparatus and equipment.
- Supervision of utility personnel.
- Receiving and inspecting of all marketing deliveries to make sure it is in proper condition and the quantity delivered is correct.
- Receiving of payments for reservations for any of the outlets during day operations or the period when no designated outlet representatives in the office.
- Assisting directors on their needs.
- Coordinating and assisting of all operational concerns on day operations or during the period that there are no outlet representatives are present.
Minimum Qualifications
- 3-5yrs of experience. Preferably in the F&B industry.
- Candidate must possess at least Bachelor's/ College Degree in Human Resource Management or equivalent.
- Willing to work a portion of the job during night time.
- Strong analytical and planning skills.
- Excellent problem-solving skills.
