The Office Manager shall be responsible for ensuring the productivity of the Kalibrr employees by providing support in HR, Finance and Administrative matters. To be successful, this person will need to be an analytical person with a go-getter attitude, quick on his/her feet in making decisions. The Office Manager will work directly with the Country Manager to ensure the smooth operations of the company.
Responsibilities
1. Human Resources (30%)
- Work closely with the Senior HR Manager, Recruiting Coordinator, and Executives to ensure that employee information is complete, up-to-date and confidential
- Provide accurate information to prospective employees from initial phone screen through job offer questions to pre-employment requirements
- On-boarding the new hires of the company
- Setting up software or online subscriptions (Email, Trello, Hipchat, Uber, Microsoft Office)
- Procurement and setting up work materials and other hardware (phone, SIM card, laptop etc)
- 1st week check-in
- Off-board the resignees of the company, which includes return of company equipment, conducting of exit interviews, issuance of last paycheck, etc.
- Coordinate employee engagement work cycle
- Regularization
- Performance evaluations (quarterly/semi-monthly/annual)
- Notifications of change in job scope or compensation
- Labor cases (if any)
- Work anniversaries
- Benefits
- HMO (enrollment, updates, deletion)
- Organize fellow employee and/or vendors to organize company events in celebration of key business and employee milestones
2. Finance (30%)
- Support the Sales team in client accreditation requirements
- Support the Finance team in tracking the necessary adjustments every payroll period (absences, salary increases, etc.)
- Work with multiple department and team managers to know their respective budget requests and make funds available according to predefined processes
- Hold the company credit card and process all credit card transactions with appropriate confidentiality, security and approval from managers and/or executives
3. Administration, Facilities, and Office Infrastructure (40%)
- Lead and manage all office moves in coordination with Executive team, landlords, vendors, facilities managers, and other service providers
- Set-up all office infrastructure requirements needed for multiple business locations (landline, Internet, electricity, air conditioning, plumbing, furniture, security cards, etc.)
This role reports to Senior HR Manager and CEO.
Minimum Qualifications
- Establishing positive, friendly relationships with people from various backgrounds and cultures
- Establishing, managing, and maximizing all resources on hand to finish any and all tasks assigned the first time
- Holds oneself personally accountable for task completion and takes pride in a job well done
- Speaks both Filipino and English with ease
- Strong attention to details and follow-up
Preferred Experience
- HR background in payroll, compensation, and benefits, recruiting or employee engagement is a plus
- Experience working in high-pressure environments with limited resources
- Experience with office management, vendor and supplier management, and/or online purchases
