Job Description

Secretarial Support – (60%)

  • Management of CEO’s calendar and appointments
  • Travel arrangements includes booking of air tickets, hotel accommodation, transportation and agenda for the team
  • Prepare expense claim for the team and ensure timely and accurate reimbursements

Office Management- (40%)

  • Provide office infrastructural services including office management, general administration and resource planning.
  • Maintain a good relationship with vendors, service/delivery personnel and building management team
  • Orientate new employees on the office layout, administrative policies and make introductions to the team
  • Point of contact for all facilities & building management matters between the Company and the Landlord of the office building
  • Responsible for administration of local service agreements including tenancy, apartments, hotels, travel agency, company cars and other services.
  • Manage infrastructure setup of offices including layout and design, renovation, A&A works and compliance with landlord and regulatory authorities.
  • Manage office space and facility utilization and ensure optimal space utilization.
  • Manage all internal and external office relocations, coordinating and managing office move efficiently with minimum downtime.
  • Oversee office assets management, general administration, office maintenance and security matters.
  • Review and manage general office insurances and ensure appropriate and adequate coverage.

Minimum Qualifications

  • Minimum 2-3 years of secretarial and office management experience
  • Must have good writing skills and strong communication skills
  • You will excel in this role if you are highly organised, detailed, results orientated and have the ability to multitask effectively.
  • You should be passionate for the role and its possibilities, be a strong communicator and have a "can-do" attitude.
  • Prior Cabin Crew and Customer Service experience is highly preferred
  • Looking for immediate candidates or candidates with 1 month notice
