Job Description

The position is involved in overseeing and coordinating the financial management of the project. Implement collection policy and acts as a communication officer.

Duties and Responsibilities

In accordance with the association’s property management contract, the Condominium Admin Manager performs the following duties personally or through subordinates.

  • Responsible to oversee the Admin and Financial management of the Condominium Association.
  • Confer with the Property Manager to review financial status of association and to determine management priorities.
  • Supervise and participate in the preparation and analysis of periodic and annual budget and financial statements of the Condominium Association.
  • Prepare and implement corrective action plans in response to financial audit findings.
  • Direct collection of monthly assessments from residents and payment of incurred operating expenses.
  • Supervise and monitor the collections and billings of Association Dues, Special Assessments, electricity and water.
  • Maintain and ensure prompt payment to avoid or minimize delinquencies. Prepare Notices to delinquent Unit Owners/Residents of the Condominium.
  • Responsible for issuance of Disconnection Order for Delinquent Accounts to Assistant Building Engineer.
  • Monitor the Accounts Receivables and Accounts Payables of the Association.
  • Ensure that all government mandated fees (eVat, RET, ewt, etc) are settled.
  • Ensure 100% deposit of all collections for the day
  • Manage and supervise the Finance section and Accounting service provider of the condominium.
  • Responsible on updating of Unit owner’s 201 files in connection to information and financial update of the owner, residents and/ or tenant.
  • Prepares Ownership and Occupancy Reports
  • Responsible for Resident’s Move-In Documentation, Orientation and Processing
  • Responsible for Resident’s Move-Out Clearance and Processing
  • Responsible for Processing of Certification (Residency, Management Certificate Etc.,) ID’s and similar documentations of Unit Owners/Residents
  • Oversee and supervise Admin Assistants
  • Key person to interface with the Board of Directors to discuss and report on Financial Management of the condominium.
  • Attend to queries, complaints, issues, feedbacks from Unit Owners and Residents in relation to Admin and Finance and take appropriate remedial actions in a timely and tactful manner in accordance with the policies of the project and H&D Group.
  • Handle the acquisition of various quarterly and annual permits and payments --local government unit.
  • Make Circular, Memo and other notices with regard to Admin and Finance as needed.
  • Ensures that the all purchase requisition have at least 3 canvass from reputable suppliers and contractors.
  • Checks and approves request for supplies and materials needed for office/Admin/ Property Management Office.
  • Maintain safe-keeping of important Files and documentation of administration.
  • Maintain records of permits issued.
  • Supervise the systematic organization of the Individual Unit Owners/Residents’ 201 Files.
  • Report, coordinate and discuss matters with the Property Manager.
  • Ensure strict compliance to and implementation of project scope of engagement and service deliverables.
  • Perform other tasks / duties that may be assigned by H&D Group Head Office from time to time.

Minimum Qualifications

  • Candidate must be a graduate of Bachelor of Science in Accountancy/ Finance/ Business Administration Management
  • With at least 3-5 years experience handling Financial Managament in Property Management/Real Estate or any related industry
  • People person. Able to communicate well and effectively with the Team
  • High sense of responsibility
  • Implement collection policy and acts as communication officer
