Job Description

Personal Assistant to President Director

  • Responsible for performing all secretarial duties for the President Director and his direct reports
  • Manage Director’s electronic diary, assessing priority of appointments and reallocation as necessary
  • Manage Director’s travel arrangements (including visas/accommodation).
  • Maintain Director’s office systems, including data management and filing.
  • Maintain records of Director’s contacts and mall management contacts.
  • Organize meetings and ensure that Director is well prepared for those meetings, preparing agendas, pre-meeting briefings and meeting papers
  • Meet and greet visitors at all levels of seniority.

General Affairs

  • Responsible for booking of air-tickets/ accommodations for all staff going on overseas/domestics assignments and coordination of overseas guest accommodations
  • Responsible for handling of all stationery requisitions from all Department
  • Responsible for supervising the office assistants
  • Orders of office supplies (aqua, photocopy papers, detergents etc) and printing of forms for office and other teams
  • Responsible for maintenance of office automation (Air-con, office rental, electricity etc.)
  • Prepare and order office furniture’s as and when necessary
  • Coordinate with office and distribution drivers on maintenance of vehicles/STNK
  • Coordinate office get together activities
  • Ad hoc assignment as and when assigned

Minimum Qualifications

  • Female, 28 to 35 years of age
  • Bachelor's Degree level in related filed.
  • Fluent in English
  • 2+ years of experience Personal Assistant at senior management level.
  • Exceptional interpersonal and communication skills, to enable professional interaction with a wide range of contacts.
  • Ability to organise and plan own work.
  • Independent and ability to work on own initiative.
  • Ability to multitask
  • Strong time-management and organization skills
  • Ability to deal with sensitive information with discretion and to maintain confidentiality.
