Job Description

The primary responsibilities of this position are to manage operational efficiency and administration requirements for Creative Lab (Philippines).

Responsibilities & Accountabilities

Operations

  • Liaise with senior management in making decisions for operational activities and setting strategic goals
  • Evaluate the efficiency of business procedures according to organizational objectives and implement changes required
  • Responsible for increasing effectiveness and efficiency of support services through improvement to each function (HR, IT, Admin) as well as coordination and communication between functions
  • Manage procurement processes
  • Coordinate and evaluate the allocation of resources ie. mobile communication tools, equipment, etc.
  • Manage relationships/agreements with external parties/vendors
  • Monitor and evaluate the weekly Job Orders required for billing for internal departments
  • Ensure all legal and regulatory documents are filed and monitor compliance with local laws and regulations
  • Act as liaison for Qi Philippines, representing the organization at inter-company meetings, committees, and/or internal task forces for special events or projects ie. SSR
  • Lead the planning and execution of internal company events ie. outing, quarterly meeting, summits, and special events as needed
  • Manage special projects (as assigned)

Admin

  • Oversee day-to-day operations of the local office which may include:

Office space working conditions

Office repairs

Asset management, monitoring, and maintenance

Office planning and renovation

CCTV monitoring

Government permits and licenses

  • Lead planning and coordinating administrative procedures and systems, devising ways to streamline processes available
  • Oversee facilities services, maintenance activities and tradespersons and other suppliers involved in running the office
  • Manage schedules and deadlines for admin-related projects
  • Oversee management and maintenance of the corporate apartment/s
  • Maintain a safe and healthy work environment by establishing and enforcing standards and procedures in compliance with legal regulations

Minimum Qualifications

  • Bachelor's degree in Human Resource, Business Management, or any related field.
  • Strong organizational and critical thinking/analytical skills with at least 5 years of professional experience
  • Excellent time management and interpersonal communication skills
  • Detail-oriented with good analytical skills, integrity, and a high degree of commitment.
  • Ability to interact with all levels of management in order to provide company policy guidance and support
  • Skilled in formulating modules, policies, and guidelines
  • Self-motivated, proactive, and committed to continuous improvement
  • Proficiency in Microsoft Office
