Job Description

As the Assistant to the Country Director, your main responsibility is to provide administrative support by conducting research, preparing reports, handling information requests, performing clerical functions as well as any personal workload requests. Your goal is to execute, deliver, and follow through on the Country Director’s tasks, both work-related and personal.

What Will You Do

Clerical and Administrative

  • Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics
  • Secures and handles the permits, contracts, and documents as transacted with multiple vendors and government agencies.
  • Conserves executive’s time by reading, researching, and routing correspondence, drafting letters and documents; collecting and analyzing information; initiating telecommunications
  • Attend to any personal tasks of the Country Director such as, but not limited to, coordinating with the country Directors NGO, Other associations, setting meetings, and keeper of personal calendar.

Communication and Coordination

  • Be the first in line of communication between the Country Director, clients, management, and other employees
  • Maintains client confidence and protects operations by keeping information confidential
  • Maintains the Country Director’s schedule by planning and scheduling meetings, conferences, teleconferences, and travel arrangements
  • Proactively manage schedules and tasks efficiently, allowing the Country Director to redirect focus to work
  • Represents the executive by attending meetings and speaking on his behalf.
  • Welcome guests and clients by greeting them in person or on the telephone; answering or directing inquiries
  • Conserves executive’s time by reading, researching, and routing correspondence, drafting letters and documents; collecting and analyzing information; initiating telecommunications
  • Research on external organizations before setting a meeting if a request is prompted.
  • Doing background checks of professionals (via Linkedin) if a meeting is requested.
  • Research on connections and building a strong network of potential partners, following strategy directed by the Country Director.
  • Write minutes of meetings attended by Country Director

Project Management

  • Completes projects by assigning work to clerical staff; following up on results as needed
  • Tracks the progress of the tasks and provides a status report to the Country Director
  • Prepares reports by collecting and analyzing information from managers, ensuring the collection of insights, data, and/or ideas
  • Documenting meeting discussions and managing deadlines

  • Bachelor’s/College degree in a relevant discipline you’re passionate about!
  • At least 1 year of assistant experience reporting to senior management
  • Advanced skills in cloud-based applications such as Google Drive, Google Sheets, Google Docs, and MS Office Applications
  • Excellent professionalism, project management, and problem-solving skills
  • Strong analytical and planning skills;
  • Excellent communication and presentation skills;
  • Excellent problem-solving skills;
  • At least 1 year of assistant experience reporting to senior management
  • Advanced skills in cloud-based applications such as Google Drive, Google Sheets, Google Docs, and MS Office Applications;
  • Excellent professionalism and project management skills
