Job Description

Summary of Work Activities and Responsibilities:

Under the supervision of the Librarian, the Library Assistant IV provides frontline, library use, and section management support in the day-to-day operations of the Educational Media Center of the Ateneo Senior High School.

Main Duties and Responsibilities

I. Information and Library User Support

  • Provides overall frontline support in the Center
    • Releases and receives borrowed books and periodicals (print materials)
    • Shelves, shelf reads, files, updates, and classifies books and periodicals
    • Prepares and processes various documents and requests, including but not limited to notice of patrons’ overdue notices, etc.
    • Responds to various inquiries and concerns sent by faculty, parents, and students
  • Facilitates the mechanical processing of books and newspaper articles
    • Types call and barcode numbers, tapes books and barcode labels, and pastes date due slips on books
    • Attaches security strips, stamps property ownership, and covers books
    • Cuts selected articles, pastes them on bond papers, and places them inside envelopes
  • Monitors the proper use of computers in the Center and ensures that patrons adhere to the guidelines
  • Prepares materials for posting to the bulletin board and submits the materials to the Librarian for review and approval

II. Section Management Support

  • Prepares statistical reports and summaries regarding the use of library services (monthly and annual) such as circulation statistics, statistics on discarded and lost/missing books, record of patrons, etc. and submits them to the Librarian for review
  • Processes requests for new books and periodicals in coordination with the Central Purchasing Office, and monitors the status of delivery
    • Receives periodical subscriptions and conducts follow through with jobbers/suppliers on delayed issues
    • Receives and checks the accuracy of delivered books, checks them against the collection, and returns those that will not be accepted
  • Maintains and conducts regular checking and inventory of books and periodicals, and recommends items for replacement based on physical state of materials (e.g., tattered pages, damaged covers, etc.)
    • Updates the status of books and periodicals for binding
    • Encodes the bibliographic information of new books and periodicals in OPAC
  • Processes Order for Checks and Cash Advances, and processes financial documents accordingly

III. Performs other duties as may be assigned by the immediate supervisor, or any
authorized representative.

  • Active Listening: Giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate time
  • Secretarial and Administrative Support: Knowledge of administrative and office procedures and systems such as word processing, managing files and records, designing forms, and workplace terminology

Education and Experience Requirements

  • Bachelor’s Degree graduate
  • At least two (2) years of working experience in customer service or library setting
