Job Description

Under the direct supervision of the Alumni Formation and Services Head (ASFH), the Alumni Formation and Services Officer is primarily responsible for ensuring that formation programs for the alumni are properly organized, communicated, and executed.

Main Duties and Responsibilities

I. Alumni Formation

  • Assists the ASFH in the creation and implementation of alumni formation programs following the University's strategic thrusts
  • Evaluates existing programs and projects to identify ways to improve implementation, and/or ways to improve alumni engagement and connection to the University
  • Conducts research and surveys geared towards improving the services of the Office to increase alumni engagement and provides recommendation to the Director, and to determine interest points of the greater alumni population for future alumni engagement events and projects
  • Coordinates with internal and external individuals and groups in organizing and implementing various formation programs and activities of the Section
  • Conceptualizes and writes communication materials and website content for promoting alumni formation services, and coordinates with the University Marketing and Communications Office (UMCO) to ensure alignment with the objectives of the University

II. Alumni Services

  • Benchmarks with other schools, local and international, in terms of best practices on communications to identify opportunities for improving internal practices, and recommending them to the AFSH
  • Coordinates with various individuals and groups, both within and outside of the University, ensuring the successful implementation of events, activities, programs, content, and other related services consistent with the Section's purpose (e.g., Ignatian Festival, Bonfires, the Ateneo Sports Hall of Fame, University Planner, etc.)
  • Writes articles and provides photos for the Fabilioh and the bi-annual Alumni Magazine to assist the AFSH in their timely release
  • Provides assistance to the Ateneo Alumni Association (AAA) and the various alumni organizations in their events and projects, including the annual Grand Alumni Homecoming and campus tours for visiting alumni or balikbayans
  • Coordinates information requests with concerned individuals and groups to ensure they are provided in a timely, accurate manner that is consistent with University policies
    • Responds to queries and requests from alumni, connects them with relevant University offices
    • Provides lists and sends out email announcements for official events
  • Disseminates information on alumni demise and ensures that the batchmates of the deceased are informed, and sends out messages of condolences to the bereaved family

III. Performs other office-related tasks as may be assigned by immediate supervisor or authorized representatives

Minimum Qualifications

Knowledge, Skills, and Abilities

  • Technological Savvy: Ability to utilize information technology and computer and internet systems to accomplish tasks; Knowledge of database management
  • Analysis: Ability to review several documents and provide insights into various data
  • Communication Skills: Excellent verbal and written communication skills, including public speaking
  • Interpersonal Skills: A self-starter with the ability to work productively and cooperatively with different personalities and can work with minimal supervision independently and within a team-oriented structure
  • Project Monitoring: Ability to monitor multiple projects simultaneously and to adapt to changing environments and priorities. Proven project management skills would be an advantage
  • Program Analysis: Ability to identify strengths and weaknesses of any part of the campaign or program and think of alternative solutions, conclusions, or approaches to problems
  • Organization Skills: Highly organized, detail-oriented, and able to adapt to changing environments and priorities
  • Research: Ability to benchmark, align, and recommend best practices in the line of marketing and advancement

Education and Experience Requirements

  • Bachelor’s degree in Communications or Business
  • At least 3 year of relevant work experience such as in Communication
