Admin Officer Role: Must have a solid background in Administration and will be responsible for the billing of clients, collections and human resources. As well as assisting with general office administration duties as required.
Admin Officer key responsibilities and accountabilities
Reception Duties
• Answering telephone when required
• Welcoming clients
• Making appointments for clients
Client Invoicing and Receipting
• Bill all clients on a timely basis, filing copies as per documented procedures
• Record client payments and prepare daily banking
• Issue client receipts
Collection
• Report to Management any overdue accounts.
• Ensure account statements are sent to all clients with an outstanding balance.
• Chase up overdue accounts via phone, letter and email.
• Document all account chasing activities in a manner that can be readily accessed and viewed by Management.
Administrative Duties
- Canvass and Purchase office supplies and office equipment’s for the office
- Process and Update government mandated registrations and paperworks (e.g. BIR, Business Permits, SEC, Dole, Pag Ibig, SSS, Phil Health) and also Health Cards for employees.
- File all Admin records in accordance with company filing index
Human Resources
- Ensure all personnel records are kept with the upmost confidentiality and personal details of employees are not disclosed to anyone
- Oversee recruitment process for new employees ensuring company procedures are followed and records kept in accordance with company filing index
- Manage employees leave in accordance with employment contracts and company policy. Ensure leave calendar and tracker are up to date and accurate records are kept in accordance with company filing index
- Keep accurate attendance for all staff and report any under time to Department Manager and
Kualifikasi Minimum
Essential
• Experience with Automated Billing System’s
• Self-directed, highly motivated, reliable
Desirable
• Typing speed minimum 40 words per minute
