Accounts Payable Analyst  

Key Responsibilities:

• Receive and track all vendor invoices by updating invoice tracker, logging pertinent invoice details.
• Review invoices and nature of expenses and ensure received AP form and related attachments are complete and accomplished accurately by the respective departments.
• Endorse invoices to respective departments for review and approval in a timely manner.
• Ensure all necessary documentary requirements are complete and HOD approvals are secured prior to endorsement to Finance Manager.
• Receive invoices approved by the CEO for payment and consequently update the payment register.
• Prepare Letter of Instructions ensuring that pertinent payment/supplier details are properly documented.
• Ensure that Creditable Withholding Tax Certificate (BIR Form 2307) are prepared for payments where the Bank is required to withhold.
• Release approved Letter of Instructions to partner bank for payment processing.
• Liaise with partner bank for payment confirmation and other payment related concerns.
• Prepare journal entries for successfully processed payments for posting in GL system and ensure that journal entries are complete and accurate.
• Ensure that expenses are properly charged to the correct responsibility center and GL account.
• Handle concerns on check releasing process, outsourced to partner bank.
• Ensure that all controls are properly observed/executed in all levels of payment processing (controls on double payment, incorrect payee name/account number, etc.).
• Prepare weekly report on outstanding invoices, highlighting invoices near due date and those which are past due. Escalate near due, past due transactions, and other issues on a timely manner.
• Liaise with suppliers for inquiries/payment concerns such as payment details, status/tracking, confirmation, etc.
• Correspond internally with the Bank’s various departments for payment related inquiries.
• Maintain all necessary payment documentation through proper filing and ensure that documentations are complete and available for review/audit.
• Project the Bank’s value by keeping information confidential.
• Perform ad hoc duties as assigned

Minimum Qualifications:

• Preferably with Accounting, Finance, Business, Economics, or other related management degrees
• Work experience in accounts payable or payments is an advantage
• Knowledge of general accounting, regulatory, and financial reporting standards
• Proficiency in MS Office applications particularly excel spreadsheets
• High degree of accuracy and attention to detail
• Strong analytical/critical thinking, communication and problem solving skills
• Excellent data and file management skills
• Ability to work independently or as a team
