Events Officer | Logistics (Creative Programs Inc.) | For Pooling  

Position Summary

The Events Officer handles and assists with all logistical requirements from processing, coordination, communication, and documentation. He/She helps the Events Manager oversee ream functions of projects for large-scale events. In addition, he/she will be asked to independently mount small-scale executions.

Duties and Responsibilities

The Events Officer will handle the following tasks for all events:

Pre-Project

Bidding Process:

• Coordination on schedule reminders changes with internal team, and bidders
• Sending documents to bidders including the necessary requirements
• Implementation of the schedules
• Preparation of documents for deliberation
• Handle deliberation process
• Documentation of the bids

After Project Confirmation

• Coordinate requirements with project heads and events groups
• Ensure timelines and objectives are met
• Prepare Memorandum of Agreement (MOA) for the Events Groups
• Handle after-booking coordination with talents/artists
• Coordination on the approval of the look, design, layout and artworks
• Creation of vehicle flow
• Creation of Summary of Payments
• Handle coordination of venue, SERM, oculars, meetings
• Coordination with sponsors – commitments, requirements, scripts, schedules

Project Date

• Monitor ingress and egress
• Implementation of vehicle flow
• Check the set-up
• Proper handling of program execution
• Act as a stage manager, floor director or director during program execution
• Conduct briefing
• Troubleshoot glitches by coming up with applicable and sound solutions

Post Project

• Ensure timely payment of events groups, talent and suppliers

• Bachelor’s degree in Mass Communication, Production, or other relevant field or equivalent education and experience
• At least one (1) year of Events experience is required
• Excellent project management skills, with ability to organize and execute multiple projects under tight deadlines
• Knowledgeable of events management processes and Microsoft Office applications
• Able to thrive and easily adapt in high pressure contexts
• Outstanding interpersonal and communications skills
