Job Description

  • Responsible for heavy calendar management to coordinate a variety of complex GM meetings
  • Manage and maintain GM' schedules.
  • Arrange travel schedule, arrangement and reservations for GM and clients as needed
  • Communicate and handle incoming and outgoing electronic communications on behalf of the GM
  • Read and analyze incoming memos, submissions, and reports in order to determine their significance and plan their distribution
  • Review and summarize miscellaneous reports and documents; prepare background documents and outgoing mail as necessary
  • Prepare agendas and make arrangements for committee, board, and other meetings.
  • Attend meetings in order to record minutes compile, transcribe, and distribute minutes of meetings
  • Prepare responses to correspondence containing routine inquiries
  • Answer phones and all incoming calls for the GM
  • Greet executive’s visitors and determine whether they should be given access to specific individuals.
  • Review operating practices and procedures of the Office of the GM in order to determine whether improvements can be made in areas such as workflow, reporting procedures, or expenditures
  • Perform general office duties such as maintaining record management systems
  • Handle procurement requests from GM and Admin team

Minimum Qualifications

  • With 3 – 5 years relevant experience in a distribution and/or retail industry an advantage but not required.
  • Bachelors Degree of Business Administration, Marketing or Management or other business related courses.
  • Experienced in timeline management, prioritization of duties supporting multiple people and ability to achieve goals and finish projects in a professional manner.
  • Travel program administrator to control costs, work with budgets and forecasts working with Executive Management
  • Ability to work effectively as a team member and independently with little supervision.
  • Strong negotiation skills for contracts for agencies, airlines, hotels and car rental agencies for corporate discounts and special rates.
  • Effective interpersonal skills including calm demeanor, confidentiality and the ability to interact with individuals at all levels of the organization, including board members, VIP’s, customers and service people.
  • Computer literate. Extremely proficient in Microsoft Office including Outlook, Word, PowerPoint and Excel. Strong internet research capability.
  • Tech Savvy; Proficient in spreadsheet management and word processing, as well as possessing other computer-based skills to digitally manage all manner of daily operations.
  • Event program administrator for internal meetings, external meetings, holiday celebrations, product launches, and other executive events
  • Forward-thinking attitude with excellent communication skills, both written and spoken.
  • High level of integrity and discretion in handling confidential information, and professionalism in dealing with senior professionals inside and outside of an organization.
  • Detail oriented person, yet very personable both in appearance and personality.
