Job Description

  • Assist in writing, formatting, and proofreading of required project-related documents such as:
    • Business case
    • Requirements
    • Solution designs/ architecture
    • Statement of work
    • Terms of reference
    • Memos
    • Emails
    • Briefing notes
    • Talking points
    • Meeting presentations
    • Reports
    • Other relevant documentations and project communications
  • Attend meetings and prepare minutes/notes for dissemination to the project stakeholders.
  • Provide concept and content for the development of:
    • Infographics
    • Announcements
    • Teasers
    • Posters
    • Templates
    • Diagrams
    • Icons
    • Layouts
    • Storyboards
    • Training materials
    • Audio-visual
    • Other multimedia presentations relevant to the needs of the projects.
  • Ensure adherence of produced documents to Handbook of Style and Usage.
  • Assist in the routing of project documents for review, approval, and publication to intended recipients.
  • Coordinate with the Project Manager or Project Administrator on the updating of documentation requirements for health checks and audit/attestation purposes.
  • Help structure and administer the content of project document repositories, sites, and war rooms.
  • Perform other tasks and ad hoc activities that may be assigned from time to time.

Minimum Qualifications

  • Bachelor’s degree in Mass Communication, Journalism, Organizational Development, or related fields, preferably with advanced training.
  • At least 5 years relevant experience in reputable organizations, preferably in a Portfolio and/or Project Support role (e.g., Portfolio or Project Coordinator).
  • At least 3 years related technical writing experience.
  • Experience in developing content that will help project stakeholders understand, deploy, maintain, and troubleshoot the solutions that will be deployed.
  • Preferably with experience in the use of Microsoft Sharepoint as communications platform.
  • Specific knowledge-based competencies required to satisfactorily perform the functions of the job including concepts of grammar and punctuation, principles of copy writing, layout work, desktop publishing, and techniques and methods of special events planning.
  • Knowledge/understanding of project management framework and software development life cycle (SDLC) is preferred.
  • Advanced skills in using MS Office productivity tools such as Word, PowerPoint, Excel, and Visio.
  • Strong verbal and written communication skills.
  • Strong critical thinking and problem-solving skills.
  • Ability to prepare multiple types of documentation, policies, guides, communications, presentations, etc.
  • Ability to write with varying tones and perspectives relative to the need of the document.
  • Ability to multi-task in a fast-paced, multi-cultural environment, while working collaboratively with internal and external stakeholders.
  • High degree of self-motivation and autonomy, but with the ability to work as part of a team.
  • Ability to act clearly while working under pressure to meet strict deadlines.
  • Ability to work independently with minimal supervision.
  • Ability to skillfully and promptly deal with difficult situations related to the performance of his/her roles and responsibilities
  • Fast learner who can quickly ascertain the expected documentation and utilize this knowledge to develop a documentation approach.
