Job Description
- Manage and schedules meetings/business events of the CEO.
- Coordinate office and administrative tasks such as purchasing of office supplies/equipment and planning
- Assist in the processing of the Brokers’ documentations
- Facilitate and manage company properties/logistics
- Facilitate and coordinate executives’ documentary requirement
- Facilitate and monitor business processes/requirement
- Records keeping and filing of company business documents
- Acts as HR officer (in the absence of company HR
- Make, take calls, respond to emails and administrative general inquiries.
- Preparation of various accounting schedules: Accounts Receiving, Accounts Payable, Fixed Asset, Registers, General Ledger adjustments
- Will handle and maintain accurately the accounting records of the company the company’s accounting system.
- Prepare the company’s cash flows (receipts and disbursements)
- Assist in preparing government reports such as for BIR, SSS, Philhealth etc.
- Prepare vouchers, checks, credit/debit notes and other related documents.
- Other task that may be assigned from time to time.
- Verify approval of all invoices and check requests and schedules
- Prepare and process checks for multi companies
- Audit and verify expenses and revenue reports
- Reconcile vendor statements
- Process and follow-up on rush items
- Maintain account payable files
- Accounting related documentation
- Special projects as assigned
- Create documents, spreadsheets and presentations
- Complete expense reports and other accounting forms
- Answer routine inquiries from clients, agents and brokers.
- Provide clerical support to agents and brokers during the sales process
- IMPORTANT: Assistants may not interpret contractors or negotiate on behalf of an agent or broker
- Property Management Duties
- Collect and record rent payments
- Create work orders for maintenance technicians or building supervisors
- Pay utility bills and other property expenses
- Photocopy lease agreements
- Forward tenant complaints to the property manager
- Prepare the eviction paperwork, when needed
Minimum Qualifications
- Associate Degree Program
- 4-year degree in Accounting preferred but not required
- Ability prioritize and to multi-task in a fast paced environment
- Ability to handle confidential information in a discreet, professional manner
- Eye for detail, accuracy is imperative
- Able to meet deadlines
- Excellent oral and written communication skills
- Excellent problem solving skills
- Excellent organizational and analytical skills
- Ability to be an effective team member and display initiative
- Proficient with MS Word and Excel, CODA experience desired
