Job Description
- Ensures all documents are filed in an orderly manner.
- Keeps an updated record of all names, addresses, telephone numbers, and other pertinent information regarding unit owners /tenants, contractors and other persons related to the property.
- Ensures that the assets of the property are accounted for.
- Ensures that an adequate amount of office supplies are on stock reorder levels.
- Assists the Property Manager or Property Administrator in monitoring compliance with gov’t requirements and remind the Property Mananager/Property Administrator of deadlines. Acts as liaison between the gov’t agency and the Association.
- Ensures that all accounting and bookkeeping procedures are strictly complied with.
- Informs the Property Administrator and Property Engineer of all deviations from approved budgets.
- Prepares all billings to unit owners and ensure that all bills are paid buy the tenants on or before the specified dates. Monitors receipt of payments and ensure all payments made are promptly deposited.
- Reviews all billings by contractors and suppliers and ensures that checks are prepare within set timetables.
- Assists the Property Administrator in monitoring the savings and current account balances of the property, and informs the Property Administrator of any deviations from required balances.
- Prepares daily Cash Position Report and have these approved by the Property Manager.
- Makes brief inspections of the property at least once a week and advise the Property Administrator of all observations noted.
- Attends the regular operations meetings to keep updated of the day-to-day operations of the property.
- Be familiar with the technical aspects of the Property.
- Be familiar with the specialty contractors of the building facilities/utilities, their contact numbers and contact personnel.
- Actively participates in all community dev’t activities and company activities such as meetings, training seminars, and social affairs.
Minimum Qualifications
- Willing to be assigned in E. Rodriguez
- Must have porperty management or real estate background
- At least 1 year work related experience
- Excellent communication skills
- Must be computer literate
- Knows SAP
- Can start ASAP
