The Maintenance Staff serves as a central support role within the company, focusing on internal coordination among departments while facilitating seamless operations and administrative tasks.
Core Responsibilities: Internal Liaison and Administrative Support
Maintain Office Cleanliness
- Take charge of daily cleanliness tasks, including washing dishes, cleaning the conference room, and regular garbage disposal.
- Coordinate and supervise outsourced cleaning services for monthly deep cleaning sessions.
- Conduct weekly vacuuming of floor surfaces, including carpets and rugs, and ensure regular disinfection of common areas like meeting rooms.
Custodian of Office Supplies and Equipment
- Issue office supplies upon proper request, ensuring their adequate maintenance.
- Maintain a comprehensive inventory of pantry supplies, regularly assessing and restocking items as needed.
- Handle basic IT tasks, including the setup and troubleshooting of office equipment.
Liaison Between Building Administrator and HR:
- Receive and manage circulars from the building admin.
- Draft work permits and gatepasses for submission to the building admin for approval.
Other Office Management Tasks
- Perform receptionist duties
- Coordinate meeting room reservations
- Undertake additional office administrative duties as assigned, contributing to overall operational efficiency.
- Other Admin-related tasks that may be assigned.
Ancillary Responsibilities:
Data Encoding and Filing
- Maintain accurate records by encoding data in Collection Summary Files and Lists of Checks.
- Organize and manage the filing of company documents.
Support for Accounting Operations
- Release checks to suppliers, deposit publishers’ checks, and ensure timely payment of bills.
- Assist with accounting tasks for any document related retrievals and filing.
