Job Description

Summary of Work Activities and Responsibilities:
Under the direction and supervision of the Circulation Head, the Circulation Assistant IV provides administrative, and library user/client support to the section. Responsibilities include monitoring and maintaining the quality of the collection/stack of library materials, as well as conducting minor repairs on damaged ones.

Main Duties and Responsibilities:
I. Collection Maintenance and Preservation of Library Materials

  • Sorts and shelf-reads library materials in the Circulation section to ensure adherence to Rizal Library’s classification scheme
  • Collects library materials from the designated chutes and tables after they are utilized
  • Monitors and checks the physical conditions of library materials
    • Performs minor repairs to slightly damaged library materials
    • Refers severely damaged materials for repair and rebinding to a third-party binding service
    • Checks the quality of newly repaired and rebounded library materials
  • Assists in the inventory of library materials by conducting accurate cataloging, shelving, and maintenance

II. Library User/Client Support

  • Facilitates and supports the library materials management services offered to users/clients
    • Supports and processes check-out/check-ins, holds, renewals, recalls, and search requests for library materials and payments if necessary
    • Determines the eligibility of borrowers by contacting the concerned department
    • Verifies and updates students’ records in the Circulation Database
  • Students’ personal information
  • Enrollment status
  • Borrowing privileges
  • Hold orders
    • Coordinates with individuals, offices, and departments regarding the return of books, hold orders, or settled accounts
  • Attends to basic reference and informational queries of library users
  • Handles pickup and delivery of Inter- and Intra-Library Loans (ILL)
  • Handles scheduling of research appointments of visitors, alumni, and researchers

III. Section Management Support

  • Prepares data and drafts reports required by the Circulation head on the assigned area of responsibility
    • Tracks visits and the usage of resources by library users in the Circulation Section
    • Tracks and maintains the record of library materials in the bindery
    • Records, collates, and maintains statistical data on the Circulation section
  • Daily user statistics
  • Number of books for shelving
  • Number of books returned to shelves
  • Monitors library resources and reports to the Section Head any possible safety, security, and maintenance concerns

IV. Performs other duties as may be assigned by the immediate supervisor, or any authorized representative.

Minimum Qualifications

Education and Experience Requirements:

  • Graduate of any Bachelor’s degree
  • One (1) year of relevant work experience

Knowledge, Skills, and Abilities:

  • Knowledge of Library Operations and Standards: Demonstrated knowledge of library operations and adherence to industry standards.
  • Clerical Support Skills: Demonstrated knowledge of basic clerical procedures such as filing, encoding, etc.
  • Technological Savviness: Proficient in transitioning between various technological platforms and software applications, with the capacity to learn and adjust to unfamiliar ones.
  • Attention to Detail and Organizational Skills: Strong attention to detail and exceptional organizational skills to ensure accuracy and efficiency in tasks.
  • Communication Skills: Proficient in communicating effectively both orally and in writing to convey information clearly and concisely to all stakeholders.
  • Interpersonal Relations Skills: Ability to foster positive interpersonal relationships with stakeholders in a collaborative environment.
  • Commitment to Customer Service Excellence: Dedicated commitment to delivering high-quality customer service and meeting the needs of all library users with professionalism and courtesy.
