Job Description

  • Act as the main point of contact to Layer3 staff for coordinating account inquiries.
  • Manage Accounts email inbox and ensure that incoming emails are responded to promptly.
  • Reconciliation of debtors and creditors accounts in Xero.
  • Following up on outstanding customer accounts in Xero.
  • Manage budgets and cash flow in Excel and Xero.
  • Support the Office Manager with other duties as required.
  • Involvement in team meetings and activities.
  • Manage and coordinate ConnectWise finance boards including Invoice search, invoicing, invoice batch email, special invoices.
  • Communicate with clients and staff to effectively answer account enquires.
  • Review/prioritize outstanding financial requests.
  • Ensures timesheets are submitted weekly for review.
  • Ensures ConnectWise and Xero are kept up to date with any changes to account information.
  • Commitment to completing work by a deadline.
  • Reviewing charge notes for time, accuracy, spelling, and grammar before closing for billing.
  • Ensure service ticket invoices have a resolution charge.
  • Reviewing current accounting processes and making suggestions for improvements
  • Reviewing, comparing, analysing, and pricing records in ConnectWise.
  • Ensures ConnectWise sales orders have correct products and services assigned before invoicing.
  • Working with sales staff to confirm sell and cost price of quotation before invoicing.
  • Act as the customer escalation liaison for Accounts.
  • Modelling desired behaviours such as punctuality, reliability, confidentiality, positive attitude, and good communication.
  • Treating team members in a respectful manner.
  • Communicating in a clear, open, honest, convincing, and appropriate manner.
  • Understanding and modifying communications based on the audience.
  • Respecting the confidentiality of management discussions and restricting information with team members appropriately.
  • Being confident in own decision-making ability and making consistent, effective, timely decisions.
  • Approach clients in a professional manner.
  • Maintain confidentiality of customer knowledge/data in ConnectWise and Xero.
  • Effectively keeping management informed with proactive updates and alerts about internal & external issues, and forecasts of finances.

Minimum Qualifications

  • 3+ experience across Accounts Payable and/or receivable preferred.
  • Experience with Xero Accounting software
  • Experience with Forecasting and Budgeting
  • A very good working knowledge of Microsoft Office.
  • Numerical accuracy and thorough attention to detail.
  • Have an understanding of financial report requirements.
  • Excellent customer-facing skills.
  • Superb written and verbal communication.
  • Excellent phone etiquette.
