Job Description

Summary of Work Activities and Responsibilities

  • Reports to the Journals Coordinator
  • Responsible for acquiring new subscribers and generating sales through promotions and participation in journal-related events
  • Responsible for retaining existing journal subscribers through effective customer relationship management activities
  • Responsible for increasing awareness of ADMU journals to generate subscriptions and submissions
  • Assists in the conceptualization of marketing programs
  • Ensures proper and effective implementation of marketing programs
  • Deals with individual and institutional subscribers, current or potential, who are librarians, faculty, or graduate students of other institutions, or independent researchers
  • Deals with local and foreign agents/distributors
  • Deals with service providers (e.g. graphic artists, video editors, photographers) and suppliers (e.g. printers, merchandising material providers, couriers) for the production of marketing collaterals
  • Coordinates with LS departments and offices for information and materials as well as with other ADMU offices and those of other universities
  • Supervises no one

Main Duties and Responsibilities

1. Marketing

  • Gathers market insights and assists in conceptualizing marketing programs
  • Contributes creative ideas, helps develop marketing program mechanics and ensures proper implementation thereof
  • Generates leads from all possible contact points e.g. conferences within and outside the university, book fairs, faculty and administrators attending conferences or association meetings, online search, etc.
  • Proposes a comprehensive marketing budget needed to execute all programs
  • Prepares a yearlong calendar of pertinent events to promote LS journals e.g. the Manila International Book Fair, local and international conferences held in Philippine universities in
  • Metro Manila and in the provinces and participates in those events via bookselling and/or display
  • Regularly conducts telemarketing to convert leads to subscribers and for existing subscribers to renew or add to their subscription
  • Verifies and updates contact details of potential and existing journal subscribers
  • Monitors customer engagement, including increase in readership of open-access journals
  • Conducts periodic surveys to improve the service provided by the Journals Office
  • Prepares monthly status reports of leads/inquiries, new subscribers/conversion, multiple subscriptions/cross-selling, renewal/loyalty, etc.
  • Helps evaluate the effectiveness of marketing programs and recommends necessary adjustments

2. Promotion

  • Based on market insights, develops appropriate marketing materials for different types of clients
  • Mails, via postal mail or email, promotional materials, e.g. postcards, letters, subscription forms, and print copies as samples to potential clients, in a timely manner and at the lowest possible cost
  • Promotes the latest journal issues published, using available platforms e.g. ADMU website, Blueboard, Twitter, LUXID Infoboard, Rizal Library, Radyo Katipunan, Areté, etc.
  • Updates the AJOL Facebook page with promotional materials and other relevant information e.g. abstracts for general readers, upcoming events, new issue announcements, tips for researchers, journal bundles, and others in order to engage general readers and entice interested institutions/individuals to eventually subscribe
  • Proposes and creates other channels for public engagement and promotion, such as but not limited to YouTube and Twitter
  • Develops and utilizes upon approval other promotional materials such as video interviews with former and current journal contributors

3. Selling

  • Acts as the booth manager during ADMU-hosted events that the Journals Office participates in e.g. lectures, conferences, book fairs, etc. to increase awareness of open-access journals and generate sales
  • Looks for and proposes other selling venues and opportunities within and outside the university
  • Promptly turns over any and all payment collections following the policies and procedures of the Central Accounting office

4. Office Support

  • Handles logistical requirements for meetings
  • Attends to visitors’ queries and provides the necessary information and/or assistance
  • Assists in the user testing and maintenance of the new AJOL portal
  • Assists in the maintenance of the physical cleanliness, orderliness, and security of the Journals Office

Minimum Qualifications

  • Graduate of Marketing, Communication, Psychology or any related field
  • Preferably with one year of work experience in marketing communication and/or customer relationship management
  • Experience or familiarity with the research process and academic writing is an advantage

Knowledge, Skills and Abilities:

  • Interpersonal skills (especially in relating with customers and support groups)
  • Oral and written communication skills (especially in preparing promotional letters and journal usage reports)
  • Skill in the safeguarding of confidential records, files, and other matters internal to the office
  • Keen attention to details
  • Tenacity in completing tasks and producing a positive result
