Job Description

Summary:

Under the supervision of the Program Director for Master in Entrepreneurship (ME), the Administrative Coordinator primarily supervises the daily operations of the ME Unit in the areas of administration, sales and marketing, human resource, finance and program management.

Job Description:

  1. Administrative
    1. Creates, updates, and keeps all electronic records of the students, faculty, partners, and various Ateneo units, such as but not limited to database, profiles, module papers / business plans, enrollment files, and grades observing confidentiality guidelines
    2. Keeps all records of past and current “leads”, for possible/potential ME candidates
    3. Secures all documentary records of the unit. (hard and electronic copies)
    4. Computes and submits grades to the Registrar’s Office
    5. Prepares and submits updated enrollment lists to the Registrar’s Office, as required by CHED
    6. Complies with the requirements of the CHED, as coordinated by the AGSB Registrar’s office
    7. Leads direct communication with the students and faculty, as may be needed by other AGSB units or by the ACE Group/Office
    8. Prepares graduation-related requirements such as but not limited to final graduation lists, certificate of approval for the business plans of ME Students, and other activities related
  2. Marketing
    1. Works with the AGSB Marketing Director in conceptualizing and creating artworks/visuals for the ME Program e.g. campus advertisements, print ads for partner media/s, etc.
    2. Conceptualizes events that may help in the promotion of the ME Program
    3. In coordination with the AGSB Marketing Director, leads the implementation of various ME campaigns and caravans, such as but not limited to, trainings, seminars, exhibits, conventions, conferences, direct marketing and network events
    4. Leads the promotion of the ME Program to potential markets
    5. Meets with potential partners for (future) program expansions
  3. Sales
    1. Leads email and makes follow up calls to interested applicants and to applicants who have been assessed as acceptable for the program
    2. Entertains walk in applicants, explaining all the details of the program, converting applicants’ interests to engagements
    3. Attends to all program related inquiries (phone, email, internet, etc)
  4. Finance
    1. Monitors finances of the unit such as budgets, requisitions, tuition payments, receivables from students (including penalties of students, and shares of partner office – ACE, salaries, and various expenses
    2. Prepares annual / school year’s budget of the ME Program
    3. Minimizes unnecessary expenses of the unit
  5. Human Resource
    1. Conducts initial interviews to job applicants, endorses possible candidates to the ME Program Director for final interview and evaluation
    2. Provides inputs to probationary and final evaluation of staff
    3. Facilitates onboarding of new staff and orients him/her on sales and marketing, program content, and various policies of the University and of the program
  6. Performs other work related responsibilities that may be assigned by the Program Director or Dean.

Minimum Qualifications

  1. Bachelor’s Degree; Graduate studies is an advantage but not a requirement
  2. Preferably with at least five years’ supervisory experience in the field of Office Administration, Operations, Marketing and Sales or Customer Service
  3. Background in financial management is a must
  4. Experience in an education institution an advantage
