Purchasing Assistant  

A purchasing assistant is responsible for purchasing products for the company. Duties include the need to understand company needs based on stock, inventory, projects and plans as well as the understanding of general sales and market trends according to the industry. The position is responsible for preparing and checking accuracy of reports, requisitions, vouchers, purchase orders, invoices, etc. He / She carriers out responsibilities efficiently and effectively through proper guidance of Company procedures.

A Purchasing Assistant builds and maintains relationships with suppliers in order to ensure their organization always has a source for necessary products. He / She also handles administrative duties relating to purchases, including tracking orders and ensuring records are kept up to date.

Responsibilities

• Monitors and coordinates deliveries of approved orders and develops an effective and reliable system in order to ensure completion, smooth and on time delivery of products by suppliers and services by contractors
• Issues purchase orders and manages products throughout the purchasing/receiving process
• Ensures that orders received are accurate and not damaged
• Researches potential suppliers and evaluates offers and negotiates better prices
• Maintains strong working relationships with our suppliers
• Conducts market research to identify pricing trends
• Maintains records of all purchase order and associated documents for all processes
• Reviews documents and data (e.g. incoming requisitions, past purchases, reconciliations, inventories, etc.) for the purpose of ensuring completeness and accuracy of purchasing process
• Works closely with relevant departments to ensure products purchased are in line with the needs of the company
• Reviews and processes orders for all departments of the company
• Follows up with suppliers, as needed, to confirm or change orders
• Must be willing to accept changes, other tasks and responsibilities not mentioned above for the overall growth of the company

• At least 1-2 years of experience in Purchasing
• With a Bachelor's Degree in related field
• Time-management skills;
• Strong analytical and planning skills;
• Good communication and presentation skills;
• Excellent problem-solving skills;
