Purchasing Clerk  

Purchaser builds a win-win relationship between suppliers and the agency. This person moderates the whole production operation from sourcing of suppliers, creating cost-estimates and handling collections, up to the delivery of the final product. This person needs to ensure that the final product is consistent with the design vision and the clients' needs and budget.

Primary Functions

• Responsible for sourcing and ordering samples, mock-ups, supplies, and services for production
• Analyse supplier price offers, quality of materials and timeliness of production.
• Negotiates with the supplier and/or the contractors to get the best price without jeopardizing the quality and timeliness of the output.
• Prepares the Cost Estimate (CE) by including the specifications and the price of the supplies.
• Coordinates with the suppliers, fabricators, photographers, and/or talents and provide them the product specifications and/or design vision from the creative team and the clients.
• Ensures that all deliverables are complete, of good quality, on time and consistent with the creative team’s vision of the design and the clients’ needs.
• Ensures collection of payables from clients and handles financials for production.
• Schedules delivery of production and tracks the progress on every deliverable.
• Constantly updates the database of accredited suppliers by sourcing for new suppliers per item/product and discarding questionable suppliers.
• Organizes files and records, respond to callers, attend to clients/visitors inquiries and, schedule and attend meetings with vendors.
• Maintains an inventory of produced collaterals for future reference or product samples.

• Candidate must possess at least a Bachelor's/College Degree in Business Studies/Administration/Management and Marketing or any field related.
• Organized, a keen eye for detail, and has a good sense of aesthetics.
• Good interpersonal, communication and vendor relationship skills.
• Be highly self-motivated and well organized.
• Be able to work under pressure and manage workloads effectively.
• At least 1 year of working experience as Purchaser, Jr. Account Executive, Production Assistant or any field related is an advantage.
