The Ateneo de Manila University (Ateneo) is one of the leading universities in the Philippines. More than 150 years in existence, the Ateneo has grown into a major Jesuit institution. Officially it became a university in 1959. It offers over 100 academic degree programmes. 

Ateneo offers Basic Education (Grade School, Junior and Senior High School). In addition, the Loyola Schools (college) is made up of four schools (Social Sciences; Humanities; Science and Engineering; and Management) that offer graduate and undergraduate degrees, with a total enrolment of about 10,000 students per year. The Ateneo has 4 professional schools located in 3 campuses in Quezon City, Makati City and Pasig City (Business; Government; Law; and Medicine and Public Health), with about 4,000 professional postgraduate students. 

It has an array of research centres, 11 of which are recognized as Centres of Excellence by the Philippine Commission on Higher Education. In addition to a European Studies Programme, it has a Centre for Asian Studies that fosters comparative research on East and Southeast Asia.

Under the direct supervision of the Advancement Head, the Advancement Officer directs and administers the fund-raising programs, projects, strategies, and structures established by the Office and/or University. This position coordinates with various University offices for the implementation of the established initiatives ensuring alignment with the set guidelines.

Main Duties and Responsibilities

I. University Partnership and Trends Analysis 

<ul>
	<li>Keeps track of updates and developments that affect the University as an organization, including its employees</li>
	<li>Benchmarks with other universities or institutions on the best practices of the Advancement Team, such as campaign planning and execution, major and planned gifts, annual fund, alumni giving, parent giving, and development operations</li>
	<li>Prepares data to detect trends in terms of advancement requirements, realities, opportunities, and successes in order to make the necessary decisions and recommendations</li>
	<li>Conducts assessment of advancement potentials and partners, utilizing the most appropriate data gathering and validation methodologies</li>
	<li>Comes up with an initial analysis of data gathered from the unit, its stakeholders, and other relevant sources</li>
	<li>Assists in designing programs and evaluation plans to address findings and identified needs</li>
</ul>

II. Advancement Management Support

<ul>
	<li>Ensures and oversees that the processes and measurements to monitor the engagement activities and fundraising results are in place</li>
	<li>Conducts research to identify prospective donors from a variety of constituencies (i.e., alumni, parents, and friends of the Ateneo) and maintains updated mailing lists</li>
	<li>Identifies, builds, designs, and evaluates the advancement programs</li>
	<li>Assists in regularly reviewing the aptness and effectiveness of the advancement and donor management system</li>
</ul>

III. Section Support

<ul>
	<li>Maintains the Advancement Calendar and schedules appropriate activities for campaign leadership and volunteers</li>
	<li>Ensures proper approvals have been obtained to support the expenditure of University funds and other expenses charged to the office budget</li>
	<li>Processes corresponding payments to suppliers/service providers, reimbursements, and liquidations through the Central Accounting Office (CAO) Payment System (CPS) and E-Requisition (E-Req)</li>
	<li>Assists in creating/updating policies related to advancement management, and donor fund management systems</li>
	<li>Drafts reports, and dashboards applying appropriate communication methodologies compliant with the standards of the University</li>
	<li>Assists in communicating the programs of the Section to unit heads and employees</li>
	<li>Manages and maintains relationships with partners, and builds networks with donors and the community at large</li>
	<li>Assists in monitoring, coordinating, implementing, and evaluating all the Section’s projects, deliverables, timelines, and agreements, including possible sustainability measures</li>
	<li>Oversees the coordination, logistical, and resource requirements of the Section’s projects and activities</li>
	<li>Documents all meetings, proceedings, and events of the Section’s projects and activities.</li>
	<li>Assists in preparing the Section’s operational budget requirements</li>
	<li>Assists the OUDAA during peak seasons, and the University with events and committee works</li>

IV. Performs other office-related tasks as may be assigned by immediate supervisor or authorized representatives

Advancement Officer

Summary of project scope

The Project Assistant provides project and research management support to the executive director and project leaders in the implementation of research projects, short courses, conferences and events. The activities entail, among others, communication and public relations activities, fundraising, donor relations and day-to-day office management that pertain to all activities including those of the Asian Studies Association of the Philippines (AsiaPhil).

Details of Principal Accountabilities and Project Deliverables

1. Office Operations

<ul>
	<li>Prepare a draft of correspondence, reports and similar materials; </li>
	<li>Respond to and distribute incoming communications (including e-mail and other online channels);</li>
	<li>Receive and interact with visitors ; </li>
	<li>Assist in board meetings, meetings of project steering committees; </li>
	<li>Take minutes of meeting; </li>
	<li>Perform routine office functions such as 
	<ul>
		<li>Answer telephone calls, manage schedule of Director, etc.; </li>
		<li>Procure and ensure that office supplies and equipment are adequate; </li>
		<li>Housekeeping tasks to ensure that the office is orderly, clean, and secure; </li>
		<li>Maintain and manage files </li>
		<li>Attend to visitors </li>
	</ul>

2. Events and Project Management 

<ul>
	<li>Assist the Program Officer and project leaders as follows: 
	<ul>
		<li>Prepares event management plan </li>
		<li>Prepares budget </li>
		<li>Assist in carrying out and evaluating plan </li>
		<li>Documentation and reporting </li>
		<li>Prepares write-ups for news media outlets </li>
		<li>Updates ACAS media outlets eg website, social media, bulletin board, etc regularly; Liaison with partners, students, and visiting fellows</li>
	</ul>

3. Research 

<ul>
	<li>Assists in locating literature, data-gathering and other research activities </li>
</ul>

4. Financial Transactions 

<ul>
	<li>Assists in determining funding needs of operations </li>
	<li>Processes reimbursements, payments, request for funds, </li>
	<li>Assists in preparing monthly and quarterly financial reports. </li>
</ul>

5. Others 

<ul>
	<li>Performs other functions which reasonably fall within the scope of the above functions and which are relevant to the center’s operations.</li>
