Job Description

The payroll assistant position is accountable for collecting timekeeping information, incorporating a variety of deductions into a periodic payroll, and issuing pay-related information to employees. The duties and responsibilities are the following:

  • Maintains payroll information by collecting, calculating and entering data
  • Prepares salary and wage payrolls including deductions, accruals and the issuance and processing timecards
  • Monitors the account distribution of salary and wage payments including correcting prior distributions
  • Balances or reconciles assigned payroll records; resolves and adjusts discrepancies; analyses computer reports to identify and locate sources of error
  • Gathers and analyses payroll data; makes recommendations and prepares various payroll reports to be submitted to supervisor
  • Prepares reports by compiling summaries of earnings, taxes, deductions, leave, disability and non-taxable wages
  • Updates payroll records by entering changes in exemptions, insurance coverage, savings deductions, and job title and department/division transfers
  • Consults with department manager to discuss, research, evaluate and resolve routine salary and wage problems such as improper deductions and accruals
  • Operates a variety of general office equipment such as adding machines, calculators, typewriters, copiers and personal computers to access payroll information
  • Makes and checks routine arithmetic calculations; posts figures and enters data on appropriate payroll documents and/or enters data in computer system
  • Interprets, explains and recommends changes to rules and regulations as they relate to payroll
  • Posts and corrects items improperly coded; prepares and sends forms to correct the computer entry
  • Responds to queries from outside agencies
  • Other duties that may be assigned within the course of function/role

Minimum Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

Education and/or Experience:

  • Must possess at least Bachelor’s Degree in Accountancy/Accounting
  • Must have a payroll background in BPO/Call Center environment
  • Must have at least one (1) year experience in payroll and bookkeeping processes

Language Skills:

  • Required Language: English
  • Good communication skills (written and oral), interpersonal, organizational, and presentation skills
  • Ability to read, analyze and interpret general data reports, manuals, technical procedures, etc.
  • Attentive to details
  • Ability to write business reports, business correspondence, and procedure materials
  • Ability to effectively present information and respond to question from groups of managers, clients, customers, and the general public

Mathematical Skills:

  • Ability to define the problem, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables

Computer Skills:

To perform the job successfully, an individual should have a basic knowledge on:

  • Internet navigation and operations
  • Microsoft Office applications
  • Typing proficiency at least 40-60 words per minute
  • Other programs required by the account/system
