Job Description

Recruitment

  • Continuous interviewing and selection of prospective candidates to ensure a readily available pool of talents for the production team.
  • Monitors and ensures that all manpower requests are logged and approved by Department Heads.
  • Sourcing of candidates through various resources such as social media sites, job sites, schools and organization partnerships, etc.
  • Conduct interviews and facilitates exams for prospective candidates.
  • Matching of candidates based on a given set of skills for each position vs the existing pool of talents.
  • Coordinates with Line Managers in terms of manpower requests and exam evaluation/ result of prospective candidates.

On-Boarding of New Employees

  • Prepares the Job Offer Sheet (JO) and Employment Contract (EC) of the incoming employee and ensures that JO and EC are signed on or before the starting date of the employee.
  • Releases the Pre-employment Checklist and Ensures that all pre-employment requirements of an incoming employee are submitted on or before the first day of employment.
  • Request through email for Lap Top/ Desktop/ PC, workstation, email address, log in user and access card and inclusion in the company’s general email.
  • Enrolls the new employee and set up their profile in the Timekeeping and Biometrics System (EDS).
  • Prepares and issues company ID for the new employee.
  • Assists the HR Manager in New Employee Orientation (NEO) in terms of logistics.
  • Benefits and Timekeeping Administration
  • Enrolls eligible employees in the company’s Health and Group Personal Accident (GPA) Insurance.
  • Sends an email to eligible employee regarding inclusion of dependent under the company’s Health Insurance.
  • Assists/ handles employee concerns regarding statutory and company initiated benefits.
  • Handles statutory related reports in time for submission to government offices such as EPRS, LMS, R3, R1A and ER2.
  • Ensures that posting of premium contributions are posted within the given time.
  • Ensures that Timekeeping is done on time for submission to Finance for payroll processing.
  • Coordinates with employees for any timekeeping related concern.

Employee Movements and Records Management

  • Prepares Employee Status Record (ESR) for any changes in the employment of a concerned employee such as lateral transfer, regularization, changes in salary, etc. and ensures that is signed by the employee.
  • Ensures that all HRD related records are properly maintained and readily available.
  • Prepares and safeguards the 201 files, medical records, and other HR-related documents of an employee.
  • Files to 201 file and ensures that separating employees have the proper documentation such as Resignation Letter or Termination Letter, and issuance of Acceptance Letter.
  • Assists the separating employee in processing of his Clearance.
  • Ensures that all documents and items related to Human Resources are returned by a separating employee.
  • Employee Relations
  • Handles logistics of company events such as Company Outing, Monthly Celebrations, Christmas Party.
  • Ensures that expenses for company activities are within the given budget.
  • Ensures that Annual Physical Exam (APE) is done on the scheduled date.
  • Answers and assists employees regarding various work-related concerns.
  • Ensures that follow-through are done for any resolved or pending employee concern.
  • Employee Discipline
  • Monitor and prepares the NTE / NOD Tracking Sheet and ensures that this issued on a timely manner
  • Equips himself with the existing Code of Conduct of the company and Philippine Labor Law
  • Handles various offenses and ensures that proper disciplinary action is given.

Minimum Qualifications

  • Minimum of a Bachelors Degree holder in Psychology or Human Resource Management
  • At least 2 years of experience in recruitment
  • Basic knowledge of employment laws and practices
  • Excellent computer skills in a Microsoft Windows environment. Must include Excel and demonstrated skills in database management and record-keeping
  • Excellent interpersonal skills
  • Evidence of the practice of a high level of confidentiality
  • Excellent English (verbal, written and interpersonal) communication skills
