Job Description
- Respond to emails and phone calls
- Prepare customer spreadsheets and keep online records
- Organize client’s calendars
- Manage social media accounts and replies
- Schedule meetings
- Perform market research
- Manage a contact list
- Take notes or transcribe meetings
- Create presentations, as assigned
- Prepare and create PowerPoint presentations and materials as needed; research materials and sources for presentations
- Provide customer service as the first point of contact
- Prepare and organize databases and reports
- Handle confidential employer and client information
- Arrange payments for vendors, travel, and sales expenses
- Create purchase orders and track and manage payments
- Present excellent customer-service skills to customers and clients
- Manage filing systems, update records and organize documentation
- Book travel and accommodations when necessary
Minimum Qualifications
- Proven experience as a Virtual Assistant or relevant role
- Two (2) years’ previous experience handling assistant or administrative responsibilities, or experience in customer service or related field preferred
- Experience with Accounting, Real Estate, Life insurance or Commercial lending industries a plus
- Familiarity with current technologies, like desktop sharing, cloud services, and VoIP
- Experience with word-processing software and spreadsheets (e.g. MS Office)
- Advanced Excel Skills preferred
- Knowledge of online calendars and scheduling (e.g. Google Calendar)
- Excellent phone, email and instant messaging communication skills
- Excellent time management skills
- Solid organizational skills
- Self-directed and able to work without supervision
- Excellent verbal and written communication skills
- Strong customer-service and presentation skills
- Must have the ability to multitask projects
- Must also be able to motivate themselves and work independently
- Additional qualifications as an Administrator or Executive Assistant are a plus
