Job Description

  • Perform check-in and check-out procedure, accommodates special requests whenever possible
  • Assist in pre-registration and blocking of rooms for reservations
  • Understand and adhere to proper credit, check cashing and cash handling policies and procedures
  • Know room locations, types of rooms available and room rates
  • Use suggestive selling techniques to sell rooms and promotes other services of the hotel
  • Ensure all expected arrivals have pre-booked rooms
  • Log in and read communications log book; turns over to the next shift any important instructions and pending items
  • Check for any action memos or department memos that pertain to staff; signs once read and understood
  • Endorse any pending matters from the previous shift to the Front Office Supervisor/Front Office Manager/Operations Manager
  • Log fax received through the front office fax machine including name of addressee, room number, time received and drop in the front office pigeon hole
  • Coordinate room status updates with the housekeeping department by notifying them of all check-outs, late check-outs, early check-ins, special requests and part day rooms
  • Possess working knowledge of reservations; takes same day reservations and future reservations when necessary; knows cancellation procedure
  • Follow procedure for issuing and closing safety deposit boxes used by guests
  • Maintain constant communication with the Housekeeping Coordinator for latest room updates (if position is available in the property)
  • Review room blockings during previous nights
  • Identify all due out rooms and arrange supporting documents
  • Verify method of payment and ensures that sufficient credit card approval has been obtained upon check-in to ensure fast check-out service and security
  • Ensure that only authorized persons are allowed at the Front Desk Area
  • Handle and promptly acts on guest complaints to ensure optimum guest satisfaction
  • Inform Front Office Supervisor/Front Office Manager/Operations Manager of guest complaints for notation in the Guest History File
  • Report any unusual occurrences or requests to the Front Office Supervisor/Front Office Manager/Operations Manager
  • Be familiar with the hotel’s facilities for the purpose of assisting guests and giving them correct information
  • Prints registration forms in preparation for next day operations
  • Ensure that all guests consistently receive prompt, efficient and friendly service
  • Coordinate with the housekeeping department regarding expected group arrival and VIP arrival for the day
  • Attend regular staff meetings in order to keep updated with information and procedure relating to Front Desk Operations
  • Perform other duties as may be required by Management

Minimum Qualifications

  • Good communication and presentation skills;
  • Excellent problem-solving skills;
  • Pleasing personality
