Job Description

The incumbent will report to the HR and Admin Supervisor and will assist with the various tasks of the department:

Recruitment

  • Source candidates from different job portals used by the company
  • Conduct initial interviews and endorse applicants to the department manager for a final interview
  • Schedule candidates for pre-employment examination
  • Collate pre-employment requirements of successful applicants
  • Draft job offers and contracts for review and signature of the company's president
  • Orient new hires regarding the company’s code of discipline and other policies and procedures

Timekeeping and Payroll

  • Extract biometric records from the device and upload these to the system for generation of timesheets
  • Review all timekeeping forms (overtimes, leaves, etc.) and ensure these are following the set company guidelines
  • Monitor leave credits and compute service charge distribution
  • Answer any inquiries that employees may have regarding their timekeeping records and related compensation
  • Distribute payslips to branches and personnel

Benefits

  • Monitor employees' loan status
  • Prepare documents for payment and posting of loans and contributions in SSS, HDMF and PHIC
  • Keep a database of all payments for contributions and loans
  • Report new hires and separated employees to concerned government offices
  • Answer any inquiries that employees may have regarding their benefits
  • Safekeep receipts and attachments of payments
  • Coordinate with the company’s HMO account manager for all related concerns (such as requesting for LoA, CoC, etc.)

Training and Development

  • Source for programs that employees may attend for professional and/or personal growth
  • Schedule employees to attend seminars/trainings
  • Request related payments to the accounting department

Employee Relations

  • Enforce company policies and procedures
  • Serve memorandum, letter of explanation/notices to erring employees
  • Formulate policies and procedures
  • Release internal office memoranda
  • Act on employees’ grievances when necessary
  • Act as mediator between employees and management

Labor Relations

  • Update learnings regarding labor laws
  • Ensure that company is legally compliant
  • May represent company during DOLE inspections
  • Coordinate with company lawyer about any legal issues that may arise

Others

  • Ensure confidentiality of all HR documents
  • Serve as document controller of the department
  • Monitor and request for office supplies and medicines for medi-kit
  • Petty cash custodian
  • Contact person for company’s telecom account
  • Verify billings from contractors/suppliers and requests payments for these
  • Communicate with the company’s cooperative for any issues that may arise
  • Do store visits and ensure that all branches follow company’s SOPs
  • Issue uniforms and identification cards
  • Route clearances of resigned employees
  • Other ad hoc tasks

Minimum Qualifications

  • Graduate of Psychology, Human Resources Management or other behavioral sciences
  • With at least one (1) year related work experience
  • Familiar with labor laws and mandatory government benefits
  • Can communicate effectively with various personalities
  • Confident and with a strong personality
  • Pro-active and independent
  • Organized and detail-oriented
  • Psychometrician license is an advantage but not a requirement
  • Comfortable in handling all facets of HR
  • Willing to work in Don Chino Roces Avenue Extension, Makati City
