Job Description
The Executive Assistant’s work encomapsses the general activities of the company. He/she will serve as an internal and external liaison to the management, departments, and related constituents. He/ She will provide assistance to the company’s President, Manager and high-level executives and is trusted with complex duties and sensitive information which is to be kept confidential.
In addition to general administrative work, he/she may be in charge of scheduling meetings, taking minutes during sessions, maintaining databases and producing reports or presentations for the company.
Finally, as an EA, he or she should develop and maintain effective relationships with colleagues, collaborate on matters, exchange information, provide and seek feedback to facilitate high-quality services.
RESPONSIBILITIES
- Assists the President and Manager with daily administrative duties that include but not limited to managing a calendar of appointments; tracking deadlines; completing expense reports; arranging travel plans and agendas; and filing, organizing, and compiling company documents.
- Monitor the operational activities of the company such as coordinating deliveries to clients, arranging necessary documents, planning of purchase arrivals, etc.
- Encoding data and information for the updating of records and generation of reports.
- Provide general office support – includes but not limited to: greeting visitors, some mailroom and kitchen functions, create and maintain filing systems; copy, bind and fax documents; update, process and distribute records, files
- Answering phone inquiries, directing calls, and providing basic company information
- Prepares reports, presentations, and data, as well as maintaining files, records, and correspondence for meetings
- Handles confidential information; organizes and maintains files
- Prepares information and research for executive needs
Minimum Qualifications
- College Graduate. Those with Accounting degrees are highly encouraged but not required;
- Good communication skills;
- Organized with problem-solving skills
- Able to work with computers such as emails, Microsoft Office (particularly Word and Excel), and with an ability to become familiar with firm-specific programs and software
- Able to work under pressure
- Resourceful
- Letter writing skills
- Versatile/ Adaptable
- Has Initiative
- Language: Tagalog and English
