Job Description

The Document Controller manages document deployment, backing up, and storing both physical and electronic formats ensuring compliance with internal and external policies and regulation utilization of database on document control system allowing for tracking of documents, checking of approval loops, revision identification, etc.

  • Sets up document management policies, process and system for efficient record keeping, management, and for internal/external audit compliance.
  • Leads the implementation of the document management system.
  • Manages all controlled documents for assigned projects regarding quality, revision status, timely receipt and distribution.
  • Receives and answers emails, inputs information into the system, creates transmittals to recipients, tracks documentation, and ensures nothing is delayed that would affect the timing of the project.
  • Ensures that circulation durations for distribution list and cycle are tracked and any deviations (delays) are reported, as these may impact the project delivery schedule.
  • Responsible for collecting the data, verifying the current revision status of the documents and distributing them. (i.e. preliminary, approval, construction, erection, and as built documentation etc.)
  • Supports the contracts team to receive, check. and validate the drawings, inputs the drawings & quality documents into the database system, verifies the metadata of each file, and ensures timely distribution of the documents.

Minimum Qualifications

  • Candidate must possess at least a Bachelor's/College Degree , Computer Science/Information Technology, Finance/Accountancy/Banking, Business Studies/Administration/Management or equivalent.
  • Preferably 1-4 Yrs Experienced Employees specializing in Clerical/Administrative Support or equivalent.
  • Required skill(s): Documentation Skill.
  • At least 4 year(s) of working experience in the related field is required for this position.
  • Advanced skill in word processing software such as MS Word and Adobe Acrobat, knowledge in MS Visio is a plus.
  • Self-motivated and able to work with minimal supervision, good team work skills and strong communication skills.
  • Takes ownership in handling project records, documentations, and its confidentiality.
  • Good management, and organizational skills driving toward cost effective and efficient handling of project information and documents.
  • Ability to work collaboratively across divisions in delivering the most efficient and innovative document management and control system.
  • Willing to take the extra mile in processing and delivering required information, records, and documents.
  • Has the ability to challenge the status quo, to think differently and relentlessly in delivering results regardless of the challenges and obstacles.
  • Mission, result oriented, and bold to take calculated risks in achieving company goals.
  • Applicants must be a resident of Concepcion, Tarlac or nearby areas.
