Job Description

  • Help create and monitor a system of controls, procedures, and forms for the recordation of fixed assets.
  • Assign tag numbers to fixed assets.
  • Record fixed asset acquisitions and dispositions in the accounting system.
  • Track the compilation of project costs into fixed asset accounts and close out those accounts once the related projects have been completed.
  • Reconcile the balance in the fixed asset ledgers to summary-level account in the general ledger.
  • Calculate depreciation/amortisation for all fixed assets.
  • Review and update the detailed schedule of fixed assets and accumulated depreciation.
  • Conduct analyses related to fixed assets as requested by management.
  • Maintain Equipment Loaned to Trade (ELT) register associated with Fixed Asset Register (FAR).
  • Maintain and monitor Persona Property Securities Register (PPSR) on ELT.
  • Prepare daily reports using access to Cognos (inhouse business intelligence reporting and database).
  • Be involved in month-end processes including but not limited to:
    • Leasing
    • Depreciation
    • Prepayment
    • Suspense journals, etc.
  • Be responsible for the following:
    • Variance analysis of EOM reports.
    • Supervision of finance technician.
    • Ad hoc finance work as HQ directs.
    • Accounts Receivable/Credit Control.
    • Accounts Payable :
      • Open Items - receipted invoices – entering an invoice against a Goods receipt Purchase Order.
    • Converting a Goods receipt to an invoice, entering the invoice number, date and checking the amount is correct. If the amount is not correct, querying with the appropriate person here.
    • Motorpass reconciliations - reconcile payments to purchases and do jnls etc using M'Pass monthly Statements.
    • Internal recons for Sites -reconciling the banking against the invoices, etc.
    • Card listing requests (ie - when customer wants a list of active cards).
    • Quarterly Diesel fuel used (ie - when customers want their Diesel fuel for the rebate for the quarter).
  • Enter various invoices that are emailed and coded – Incorporating the PDF Approval Stamp (date, signature, G/L code).
  • Enter Site store invoices that come in via e-mail.
  • Perform vendor statement reconciliations and request missing invoices, sending them to the appropriate people for approval and following up with that person if it’s not then in the system after a week.
  • Contact all vendors with a standard e-mail template requesting all invoices / statements to be sent via email.
    • Make sure all our details are current with suppliers.
  • Answer requests for Copy Invoices and Statements
    • Main supplier - daily Mobile reconciliation.
  • Cross check ABN numbers with Active Customers (say customers that have used us or are still using us in the last 12 months).
  • Perform other adhoc admin and accounts work as HQ directs.

Minimum Qualifications

  • Bachelor's degree in accounting.
  • 3-5 years accounting with Fixed Asset experience.
  • Strong analytical and planning skills.
  • Good communication and presentation skills.
  • Excellent problem-solving skills.
  • Has potential to be a Team Leader.
  • Detail oriented.
