Job Description
- Knows how to accept deliverables such as purchase orders, contracts and payments
- Greet and welcome guests as soon as they arrive at the office
- Direct visitors to the appropriate person and office
- Answer, screen and forward incoming phone calls
- Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
- Provide basic and accurate information in-person and via phone/email
- Receive, sort and distribute daily mail/deliveries
- Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
- Keep inventory of stock for office supplies
- Perform other clerical receptionist duties such as filing, photocopying
- Assist in booking/ reservation of meeting rooms, and making sure refreshments is on hand
- Contact necessary people for office/ building maintenance (Building admin/ engineer, Contractor)
- Maintain cleanliness and report any damage of office items (chairs, aircon)
Minimum Qualifications
- Proven work experience as a Receptionist, Front Office Representative or similar role
- Excellent organizational skills and time-management, able to multi-task and produce efficient work, while knowing which task to prioritize
- Ability to be resourceful and proactive when issues arise, should be able to solve problems with minimal supervision, and able to make decisions
- Willing to do over time if needed to assist events or any company activities
- Professional attitude and appearance
- Solid written and verbal communication skills
- Proficiency in basic Microsoft (Word, Excel)
- Hands-on experience with office equipment (e.g.scanners and printers)
- Excellent organizational skills
