Job Description

FSS transactional Services Section Head is responsible for directing the day to day operations of the Procure to Payment (P2P) Team and Invoice to Cash/ Intercompany (I2C/I) Team. Primary responsibility is the supervision of the Supervisors, Team leaders, FSS Specialists and processors in ensuring delivery of service level commitment and proper resource planning and allocation. Assist the Manager in continuously looking for and identifying value-added opportunities Finance Shared Services can bring to the business, develop plan and implement to realize the opportunities. Requires close coordination with the Finance Operational Excellence team to maintain global alignment and standardization of the processes in the Shared Services and ensuring strong internal control/ quality assurance culture is in place. Also requires close coordination with the Consolidation and Reporting Team to ensure alignment from recording to reporting requirements of intracompany, receivables and payables accounts.

KEY RESPONSIBILITIES:

Line Management:

  • Lead and drive Procure to Pay and Invoice to Cash/Intercompany operations to achieve all KPI goals. Initiates necessary actions to meet and exceed the various targets.
  • Lead the monthly Balance Scorecard meeting and review performance with the team
  • Identify and track progress of agreed upon actions to resolve critical line issues
  • Conduct regular meeting with the P2P and I2C/I Supervisors to review BSC result, define project priorities, and establish action plans to resolve issues/ problems
  • Maintain clear visibility and communication to local Finance of operation constraints to allow for proper resource planning and allocation and implementation of corrective and preventive actions.
  • Provide monthly update of BSC result with corresponding actions particularly on metrics not meeting its target to the Manager

Quality Management:

  • Ensure internal ICSP/SOX controls are always achieved over P2P and I2C/I activities
  • Implement and support new procedures, Management of Change (MOC) and improvements whenever required
  • Support the Continuous Improvement Specialist in driving the team on continuous improvement projects which will impact metrics, process flow through Lean Concept
  • Work closely with the Quality Assurance Specialist to ensure adherence to documented process control procedure

People Management:

  • Supervise P2P and I2/I Supervisors and administratively (assign delegate tasks/ activities)
  • Determine development training plans of Supervisors and Specialists
  • Support training requirements as defined and administered by the HR Department
  • Provide Performance evaluation to subordinates through PLP/TAP system on a regular basis
  • Responsible for approval of overtime, leaves/ offset and change shift of the supervisors
  • Drives conflict resolution of the personnel
  • Conduct coaching and mentoring to subordinates
  • Initiate rewards and merit performance of subordinates
  • Conduct interviews to new staff and provide employee orientation

Safety and Company Policy Management:

  • Strictly implement Company's Code of Conduct, issue Notice to Explain (NTE) and recommend Disciplinary Action (DA) to subordinates if needed
  • Strictly implement all Safety Policies and Safety Measures as mandated by EH&S and involvement on the generation of action plans to all Safety audit findings
  • Ensure team's compliance to EHS training requirements
  • Ensures 5S program is being carried out consistently. Conduct monthly walk-through and audit of the area. Report out and track progress of all findings
  • Act as emergency response Incident Commander as required per EH&S mandate

Minimum Qualifications

  • A graduate of Bachelor Degree in Accountancy or Commerce preferably CPA
  • Minimum of 10 years of Experience in multinational company in a supervisory or minimum of 5 years experience in management capacity
  • Experts specializing in Continuous Improvement, Process Excellence and/or Quality, a plus
  • Has managed/supervised more than 10 personnel
  • Preferably with resource and Project Management Skills
  • Preferably with experience in all facets of Accounting (AP, AR, Get, Accounting and Financial Reporting)
  • Strong organizational skills
  • Able to communicate and persuade at all levels
  • Knowledge in MFGPro, SAS FM, Oracle and Hyperion FM has an advantage
  • Proficient in the use of computer application such as MS Office
