Job Description

The Role: Senior Specialist, Global T&E

The Location: Pasig City, Philippines

The Team: Be part of a global corporate credit card administration team responsible for the maintenance, processing, and reporting of global credit card usage. Our team is global and consists of both retained and outsourced staff.

The Impact: Manage the day to day T&E processes for the North America region, by providing oversight of the third party provider, including analytical support to monitor on-going performance, be the first level of escalation / resolution and delivering systems training to ensure both the third party provider (Genpact) and the business can fully leverage the available tools. Build a strong working relationship with the Business / Finance leads in the Region, delivering a high level of customer service and help drive forward continuous improvement initiatives.

Responsibilities:

  • Global Compliance owner: responsible for monitoring day to day compliance of corporate T&E Policy acting as the escalation point, where the third party provider / internal stakeholders are unable to resolve more complex issues. Demonstrates in-depth knowledge of processes and procedures relevant to the function and takes a proactive role in improving compliance and efficiency. Develops a detailed super user understanding of the system, across different jurisdictions. Overseeing SAE files to ensure Card Profiles are appropriately captured (liaise with the Finance teams) and ensures continuous process flow.
  • First level support to Global T&E manager: tracks offshore team performance to ensure that SLA’s / KM’s are continually being met. Error reporting. Systems management. Update/maintain department webpage documentation. Provides ad hoc analytical data for delinquency resolution, assist with new implementations.
  • Systems and Process Training: responsibility for training (process/ systems) for the third party provider, demonstrating strong training and communication skills, with the ability to provide training documentations and process notes.
  • Assume overall responsibility: for the supervision and day to day management of the T&E function. Includes system support, Q&A support for the third party provider, travel and expense program administrator, managing the relationships with the bank and Regional Finance Controllers. Provide supporting documentation for audit reporting and SOX compliance testing.
  • Manage customer relationships: meeting with key stakeholder on a regular basis to understand / address the challenges faced, share T&E updates, provide analytical support around expense reporting and ensuring the integrity of the information within the system

What We’re Looking For:

  • Strong written and verbal communication skills to interact and collaborate with internal customers (employees) at all levels including third parties to achieve results.
  • Strong ability to analyze and resolve issues timely and efficiently while ensuring SOX compliance is imperative.
  • Independent ability (not limited to) to resolve T&E and P-card issues; outstanding payments and rejections; virtual card questions/concerns so they do not become recurring in nature.
  • Ability to work with a diverse group of people globally supporting our employees
  • Quick Resolution of possible fraudulent activity related to non-compliant spend
  • High degree of accuracy and management of workload; understanding of contributions to the overall end to end process; ability to meet deadlines is critical.
  • Must be able to work independently, be accountable for processes/tasks performed, and understand when an issue should be escalated to management.
  • Ability to multi-task in a fast paced environment.
  • Motivated to achieve objectives; may be required to take a leading position for projects and initiatives.

Minimum Qualifications

  • 3-5 year in-depth knowledge of operational processes within card administration,
  • Strong working knowledge of the Concur T&E system
  • Solid understanding of business needs and requirements post training
  • Strong problem solving skills, with basic accounting principles knowledge.
  • Strong presentation skills.
  • Proficient knowledge of Oracle R12, Concur, and reporting software
  • Strong background in internal control processes and procedures (Sarbanes Oxley)
  • Good web administration knowledge.
  • Well-developed communication, analysis and problem solving skills.
