Job Description

The Admin Supervisor is responsible for making sure that the facilities and administrative services meet the needs of the people that work in them. S/He is accountable for overseeing the housekeeping and maintenance of the office facilities; vehicle fleet monitoring and maintenance; general administrative and messengerial services; and purchasing and department budget monitoring.

  1. Creates, improves and implements company policies, programs and procedures related to company administration.
  2. Ensures proper maintenance and housekeeping of the company’s premises.
  3. Monitors and analyses utility reports and billings being provided by 3rd party services.
  4. Manages and oversees the job performance of all Administration personnel.
  5. Supervises and manages inventory of non-trade items (office supplies and consumables).
  6. Acts as “non-trade” purchaser.
  7. Supervises Company Fleet vehicle maintenance and monitoring (Sedans and Motorcycles).
  8. Coordinates with HR for Car Assignee Agreements as per company policy.
  9. Ensures that all utilities are properly monitored and that corresponding payments for all utilities are done on or before prescribed date.
  10. Manages company insurance related activities for property, vehicle, and travel.
  11. Performs other functions that may be assigned form time to time.
  12. Will be incharge with Motorpool/Fleet Manageent, Asset Management, Insurance Management, Tenant Management, Securiy Management & Construction and Renovation Management.

Minimum Qualifications

  • ​​​​Bachelor of Science/Arts graduate in Business Administration/Management, Civil Engineering, Electrical Engineering, Property Management, Office Administration, Architecture, or related Business course;
  • Minimum of 10 years’ experience in areas of Engineering, Office Management, Property Management, Accounting and/or other Admin-related functions
  • With at least 3 years’ experience in a supervisory/managerial capacity
  • Knowledge and/or experience in material/asset procurement is required
  • Knowledge and/or experience in general upkeep and property maintenance functions are required
  • Knowledge and/or experience in security, health, and safety standards are required
  • Knowledge and/or experience in ISO 9001:2015 or Pollution Control an advantage
  • Above-average communication skills in English and can compose legal and business correspondence
  • Pleasant disposition, firm personality, aggressive yet mild-mannered, with natural ability to project the required corporate and professional image
  • Able to interrelate and maintain good working relationship with all departments in corporate environment;
  • Computer literate in Windows environment and other commonly used office software;
  • Used to work with minimum supervision and is capable of multitasking;
  • Capability/potential for acquiring higher responsibilities.
  • Strong analytical and planning skills;
  • Good communication and presentation skills;
  • Excellent problem-solving skills;
