Job Description
The Executive Assistant helps the Executive in the everyday operations of the Company and collaborates closely with all direct reports to plan, execute, and track critical business activities and strategic projects. The individual must possess a high degree of self-confidence and executive presence, thrive in a team environment and exercise discretion and diplomacy in all interactions, ability to proactively anticipate and manage challenges, and be a self-starter with strong abilities to manage multiple responsibilities and prioritize appropriately. The Executive Assistant is encouraged to attend all the administrative meetings of the Partner, and in some cases with the clients.
Duties and Responsibilities:
1. Client-relation Management
- Learns the nature of business and current engagement
- Maintains an updated record of the client’s names, positions, numbers, and addresses
- Cultivate relationships and maintain contact with clients and internal and external stakeholders on behalf of the Executive
2. Secretarial Work
- Initially scans the completeness of documents that an employee sends for review or signature of the Executive
- Maintains executive’s files and records, regarding but not limited to personal bank accounts, medical files, client files, and investments in stocks
- Answers calls and screen documents prior providing them to the executive
- Prepares professional business correspondence and communication with some direction from the Executive (memos, letters, invoices, emails) and adhere to the company’s official formats
- Able to research simple phone numbers, addresses, and persons through the internet
- Manages the calendar of the Executive, coordinate meetings, attend meetings when necessary, and prepare minutes as directed
- Handles sensitive and confidential information requiring a high level of discretion
- Create PowerPoint presentations and spreadsheet reports when needed
3. Project Management
- Monitors and follows-up all the tasks to be done by each department and by each company per the executive
- Helps in applying the daily time report of the Executive for each project or cost center
- Informs the Executive of the progress of each project every end of week
- Identify opportunities to enhance or streamline processes and lead efforts to optimize
4. Cash and Expense Management
- Monitors the monthly expenses of the Executive to remind them of possible payment
- Writes the words and amount in the checks when necessary
- Files the reimbursement of company expenses by the Executive and ensures that the reimbursement is credited
5. Organizing and Planning
- Prepares official agenda for meetings
- Create and navigate web or teleconferences, catering, audio visual or telecon equipment for meetings and conferences
- Arrange international and domestic travel in accordance with the Company policy
- Coordinate and arrange logistics for external functions including meetings, conferences, receptions, and dinner arrangements with minimal direction
Minimum Qualifications
- Bachelor’s Degree of any business course
- 1-2 years of relevant job experience
- Basic knowledge of financial and legal papers, including but not limited to official receipts, invoices, purchase orders, checks, agreements, and contracts.
- Knows how to navigate web and video conferencing platforms (i.e. Zoom, Viber, Skype)
- Skilled in MS Applications (Outlook, Excel, Word, PowerPoint, Teams)
- Proficient in written and verbal communications

Work Requirement:
- Work on-site arrangement
- Amenable to work on Saturdays when needed
- Can work in Makati
