Billing & Collections Officer  

The role is split into two main functions:

Billing: The officer is accountable for creating invoices and credit memos, issuing them to customers by all necessary means, and updating customer files

• Issue invoices to customers
• Issue monthly customer statements
• Update customer files with issued invoices
• Process credit memos
• Update the customer master file with contact information
• Track exceptions between the shipping log and invoice register
• Enter invoices into our computerized accounting system
• Submit invoices via our computerized accounting system

Collections: Duties include receiving payment and posting amount to customer's account; applying penalties during billing if customer fails to respond; initiating, and keeping records of collection and status of accounts.

• Answer customer questions regarding problems with their accounts.
• Advise customers of necessary actions and strategies for debt repayment.
• Record information about financial status of customers and status of collection efforts.
• Locate and monitor overdue accounts
• Persuade customers to pay amounts due on time.
• Perform various administrative functions for assigned accounts, such as recording contact detail changes.
• Sort and file correspondence and perform miscellaneous clerical duties, such as answering correspondence and writing reports.
• Notify the relevant departments, , and turn over account records to attorneys when customers fail to respond to collection attempts.
• Receive payments and post amounts paid to customer accounts.
• Negotiate credit extensions when necessary.

• Strong analytical and planning skills
• Graduate of accounting or similarly related courses
• Extremely detail oriented
• Organized and is able to understand existing processes and improve on or create new ones to increase efficiency
• Intermediate understanding of excel formulas and functions (Pivot Tables, VLOOKUP, etc.)
