Job Description
- Purpose of Job Role:
- To carry out procurement duties efficiently and effectively
- The Procurement Officer is responsible for the effective delivery of procurement services
- The Procurement Officer promotes a collaborative, client focused, quality and result oriented approach.
- Main Duties:
- Operate the division's policies, systems and procedures within the section adhering to the Company’s policy, financial regulations and standing orders and appropriate legislation.
- Arrange for the supply/allocation of office equipment and supplies, materials, vehicles required by the Department. This will include the following functions: preparation of specifications, tenders and schedules; obtaining and negotiating prices; obtaining quotations and placing orders and processing invoices.
- Ensure those goods purchased are to the specification in terms of quality, quantity and delivery and to advise suppliers who fail to meet specifications.
- Liaise with other Departments in order to maximize the benefits of the bulk purchase.
- Ensure that price variation are communicated to the relevant parties as quickly as possible
- Assist in the development and implementation of an electronic procurement system.
- Assist the Immediate Superiors in maintaining current up to date Procurement documents and Manuals
- Researching, pricing, obtaining quotes locally on low-value items;
- Preparation of management information and statistical report;
- Coordinate with requestors and make sure the right materials needed. Find out the sample of material to be purchased if necessary;
- Provide purchased materials to the responsible receiving office and do all actions for completing the process.
- Perform other duties related field as assigned by supervisor.
Minimum Qualifications
- A Bachelor’s Degree in Business Administration, Management, Finance, Procurement, Logistics Management or a relevant field is a distinct advantage
- 3 to 4 years of progressively responsible experience in procurement.
- Good working knowledge of MS Office application (Word, Excel), email and able to easily navigate the Internet
- Able to uphold and respect procurement ethics and to conduct activities with integrity.
- A team player who demonstrates patience, flexibility and honesty.
- Be willing and able to meet tight deadlines and work long hours when required.
- A self-starter, who is able to plan and manage his/her own work, takes initiative and strives to meet deadlines.
