Job Description
Key Responsibilities:
The Administrator is a Super Star that works autonomously in completing day-to-day tasks relating to Document Control, Travel Management, Human Resource, Commercial, Finance, Payroll and Quality requirements and various administrative tasks as required by the Client.
It may include general office management, speaking with the Client’s internal and external stakeholders, general assistance, clerical work including maintaining records and entering data or a variety of other tasks.
Communicating and demonstrating Prosource's values through leading by example. Develop strategies and objectives, assigning accountabilities and incentives through planning, monitoring, and appraising job results.
Create a climate for offering information, opinions and providing educational opportunities.
The Admin Support is an Office All-Rounder entrusted with the support and coordination of Client Activities.
Summary of Responsibilities (But not limited to):
- Communicating and demonstrating Pro Sources values through leading by example.
- Develop constructive and mutually beneficial relationships with the Client’s team members.
- Build a company image by collaborating with customers, clients, suppliers, organisations, and employees enforcing ethical business practices.
- Provide administrative support to the Client, including but not limited to client & supplier correspondence, reports and presentations.
- Maintain project filing system, relevant registers and archives.
- Collation of data for processing invoices, reconciling bank and supplier accounts and assisting with financial and management reporting.
- Support staff in establishing access to systems, equipment, and general office supplies.
- Co-ordinate and Reconciliation of expenditure, travel and accommodation requirements for project personnel.
- Attend Online meetings and presentations to share ideas and findings.
- Working closely with staff, technicians, and Client Management.
- Attend training as required.
- Maintain a high level of confidentiality and ability to practice diplomacy and sensitivity at all times
- Provide support to other functions as required.
- All other duties as required or requested by the Client.
Minimum Qualifications
Qualifications and Experience:
- Cert III Qualifications in Business Administration studies and experience in general office/secretarial procedures.
- Experience in a similar role highly regarded.
- Qualifications in information/records management (desirable) and/or experienced in document control.
- Demonstrated ability to work with and at management level.
- Proven experience in customer-focused business support.
- Highly developed communication skills.
Technical Knowledge:
- Strong project administration and reporting skills.
- Strong verbal and written English skills.
- Advanced skills in Microsoft Office Professional more importantly Excel.
- Skills and Experience in electronic (e.g. Xero, Jobpac, Preceda, Workday, HRIS etc.) and hard copy document management systems.
- Strong understanding of processes and procedures.
- Ability to understand and comply with relevant Human Resources, Commercial, Finance, Legal and Quality and procedures.
- Application of Standards that are relevant to their role.
