Job Description

Key Responsibilities:

The overall day to day and ongoing support of project activities. Plan and coordinate through to Construction Supervisors, Field Teams, Consultants and Subcontractors, activities concerned with the implementation of assigned project activities.

Coordinate the conceptual development of projects, scheduling, implementation, monitoring review and handover.

Communicating and demonstrating ProSource values through leading by example.

Summary of Responsibilities (But not limited to):

    • Implementation, monitoring and control of achievable project schedules.
    • Coordinate administration tasks required for projects including documentation and site work packs.
    • Communicate directly with project supervisors, clients and third parties regarding project progress.
    • Develop constructive and mutually beneficial relationships with Clients, Contractors and team members.
    • Act as the “point of contact” between the Client, External Stakeholders and the Field Teams to ensure minimal disruption to both operations and construction activities.
    • Provide direct support to Project Supervisors and Field teams.
    • Document and version control for project and general records in compliance with quality system.
    • Monitor completion and capture of quality records by project team to ensure compliance.
    • Registering, preparing and tracking variations.
    • Job tracking and cost coding to project budgets.
    • Purchasing/Accounts activities as applied to budgets and costs minimisation.
    • Compile purchase requisitions to raise purchase orders for project activities.
    • Coordinate onboarding and training for all staff and subcontractor including commencement and induction activities.
    • Ensure subcontractor compliance including competencies, insurances, plant and equipment, and quality documentation upon completion.
    • Monitor training records and registers and prepare relevant reports.
    • Assist with registering, tracking and maintaining asset register of all plant, equipment and specialised tools ensuring compliance with standards, periodical maintenance and calibrations.
    • Prepare HSEQ and NGER reporting for staff, plant and equipment.
    • Assist with the preparation of weekly, monthly and quarterly reports and presentations.
    • Coordinate all aspects of meetings including agenda preparation, minutes and distribution.
    • Carry out other duties required by Management.

Duty Statement:

Tendering, Quoting and Estimating Activities

    • Conduct Tender Researches from Tender Portals, RFT’s and other Lead Sources and undertake Bid/No Bid analysis activities.
    • Download Client Tender Documents, prepare tender folders, schedules and programs.
    • Design review and preparation of Electronic Survey Packs for the estimators.
    • Input client drawings into internal database systems.
    • Conduct ‘take-offs’ from drawings to determine quantities and schedule of rate types.
    • Use of first principles to develop accurate estimates for construction, servicing and maintenance projects.
    • Conduct research to obtain data on labour costs, materials, and production times etc.
    • Obtain and review offers and quotes by subcontractors or vendors.
    • Lead estimates - set up templates, develop procurement schedules and present first principles methodology at reviews.
    • Participate in review processes with management.
    • Participate in post tender clarification discussions and client meetings.
    • Produce schematic, general arrangement and single line drawings as directed by the Project Manager/Estimator in a timely manager.

Establishment/Pre-Construction Activities

    • Prepare Project Schedules.
    • Design review and preparation of Construction Packs.
    • Assist with the compilation of Management Plans and site specific HSEQ Documentation
    • Submission of Plant & Equipment Registers and Employee & Subcontractor Licences and Training Records.
    • Assist the Project Team with Site Access and Strata, Owner and Builder Engagement activities.
    • Prepare and Submit Federal, State and Local Government Notifications, Permits and Certificates.
    • Ordering of Traffic Control Plans and Permits, as necessary.
    • Placement of all major material Purchase Orders.

Construction Activities

    • Compile daily/weekly tracking of key activities.
    • Record all start and finish dates and relevant details in WIP Reports for projects.
    • Manage the receipt, collation, filing and security of project field documentation and prepare for Handover stage. Including but not limited to: HSEQ and ITP Documentation, dilapidation photos, change requests, Post Construction Photos and site reinstatement.
    • Ongoing Community Stakeholder Engagement notifications.
    • Ongoing Requests, Renewal and close-out of Permits.
    • Ensure efficient support to the project team enabling them to focus on the effective execution of projects.
    • Data entry – accurate recording of Project Activities in the relevant Database.
    • Ensuring the project files are created, maintained and all project records are managed as per procedures.
    • Commence Project Completion activities across the project.

Quality, Work, Health, Safety & Environmental Responsibilities

    • Apply the Client and ProSource HSEQ Policy, HSEQ procedures and legislative requirements.
    • Demonstrate commitment to HSEQ by participating in communications, site visits and hazard identification.
    • Participate where required in the resolution of HSEQ issues.
    • Assist with the reporting of incidents, injuries, hazards, near misses, and non- compliance matters.

Handover Activities

    • Take ownership of the Project Completion Checklists by delegating activities across the project team.
    • Prepare request/s for Practical Completion.
    • Preparation of As-Built drawings.
    • Preparation of Final Project Documentation and Handover Packs.
    • Final Council notification of Restoration.
    • Assist with the compilation of final claims and reconciliations.
    • Submission of Handover and Final Client Documentation for Final Completion acceptance.

Client Responsibilities (But not limited to):

    • Use of first principles to develop accurate estimates for data, electrical and maintenance projects.
    • Skills and Experience in Estimating, Document Management and Database Systems such as simPRO, Buildertrend, Esticom, Expert Estimator and Electrical Bid Manager etc.
    • Skills and Experience in Safety Management Software and Database systems such as MYOSH 365, Enablon, INX InControl and SafetyTek etc.
    • Ensure that field staff complete Certificates of Compliance for Electrical Work (CCEW) correctly and are submitted to the relevant parties within 7 days of work completion.

Minimum Qualifications

    • Bachelor's Degree in Civil Engineering or related field.
    • Minimum 4 years’ experience in a construction/technical delivery role including quality systems.
    • Design background - proficient in AutoCAD and PowerCAD for electrical and automation design and installation
    • Skills and Experience in Estimating, Document Management and Database Systems such as simPRO, Buildertrend, Esticom, Expert Estimator and Electrical Bid Manager etc
    • Skills and Experience in Safety Management Software and Database systems such as MYOSH 365, Enablon, INX InControl and SafetyTek etc.
    • Strong project administration and reporting skills.
    • Strong verbal and written English skills
    • Demonstrated expertise with financial analysis and strong spreadsheet capabilities.
    • Advanced skills in Microsoft Office Professional more importantly Excel and PowerPoint.
    • Strong understanding in the principles of document processing and procedures.
    • Ability to understand and comply with relevant Commercial, Finance, Legal and Quality and procedures.
    • Application of Standards that are relevant to their role.
    • Core programming/scheduling skills and interface with procurement, contracts, delivery and accounts teams.
    • Ability to manage and take accountability for project tasks and deadlines to ensure team performance.
    • Understand and apply work health safety & environmental procedures.
    • Professionalism and aptitude required work effectively to achieve team project objectives.
    • Flexibility & Analytical/Problem solving skills to cope with ‘live” environment.
    • Good conflict-resolution skills in a work environment.
