Job Description
The Special Assistant provides executive support to the Company President in the coordination and monitoring of its various business engagements primarily in the executive, business development and administration. He/She shall have the ability to exercise good judgment in a variety of situations, with strong communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.
The Special Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.
- Performs administrative tasks for the Board of Directors including managing an active calendar of appointments; completing expense reports; composing and preparing correspondence; preparing travel arrangements, itineraries, and agendas and compiling documents for travel-related meetings
- Plans, coordinates and ensures the Board of Directors’ schedule is followed
- Reviews, prioritizes, and follows up on issues and concerns addressed to the Board of Directors and determines appropriate course of action, referral, or response
- Works closely and effectively with the Board of Directors to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
- Prioritizes conflicting needs; handles matters proactively, and follows-through on projects to successful completion
- Manages and oversees a variety of special projects that impacts the organization, as assigned by Board of Directors
- Provides a bridge for smooth communication between the Board of Directors’ office and the various department units
- Serves as the primary contact and administrative liaison of the Board of Directors to its internal and external constituencies
- Demonstrates leadership to maintain credibility, trust and support and build productive relationships with the senior executives and key officers within the organization.
- Maintains discretion and confidentiality of all matters in relation to the Board of Directors
- Ensures integrity of all files that concerns the Board of Directors and their endeavors
- Prepares agenda and minutes of meetings with, including or as prescribed by the Board of Directors
- Participates as an adjunct member of the Executive Committee, Management Committee, SBU/P Heads Meeting including assisting in scheduling meetings and attending all meetings
- Performs other tasks as may be assigned by the Board of Directors
Minimum Qualifications
- Candidate must possess at least a Bachelor's/College Degree
- At least 3 year(s) of working experience in the related field is required for this position.
- Preferably 1-4 Yrs Experienced Employees specializing in Secretarial/Executive & Personal Assistant or equivalent. Job role in Management or equivalent.
