Job Description

Procurement Support:

  1. Coordinate with the internal customers for the specifications of the materials, supplies or services particularly those that are highly technical and complex
  2. Keep the internal customers informed of the status of their purchase requisitions
  3. Coordinate timely pickup and withdrawal of emergency materials and supplies from the origin to avoid plant shut down
  4. Coordinate the deliveries of purchased supplies (e.g. ordering, delivery, checking, receiving and conducting follow-up), ensuring that goods received are as ordered (right quality and quantity) and within the time specified by the requisitioner
  5. Ensure timely payment to suppliers by mediating in billing reconciliations between supplier and Accounting for settlement of invoice discrepancies for actual materials, supplies or services ordered and delivered
  6. Oversee sample receiving from suppliers for marketing, packaging, macro, and micro raw material items

Supplier Management

  1. Secure document control and maintenance of Procurement forms (e.g. e-PO, contracts, NDAs, debit notes, charter party agreements) and requirements on a yearly basis
  2. Update and maintain filing database for Accreditation and Vendor Performance Evaluation Rating and provides feedback to suppliers

Other Tasks:

  • Support Digital Procurement baseline data gathering as groundwork and migration (from Oracle) to the new system, up to enablement and answering of service desk concerns of users to maximize utilization of the new system
  • Update Spend Analytics on a quarterly basis and attend required employee meetings
  • Follow up KPI scores regularly prior to the departmental monthly meeting
  • Ensure compliance of food safety based on the standard requirement of 5S, HACCP/GMP & ISO
  • Perform related work and other items that may be requested from time to time

Minimum Qualifications

Minimum Requirements

  • College graduate of any 4-year course preferably Business, Accountant or Engineering Courses
  • Fresh graduates are welcome

Competencies

  • Familiarity with procurement activities
  • Knowledge in Oracle or equivalent ERP systems
  • Computer, communication and analytical skills
  • Knows how to create a database
  • Ability to maintain good/positive relations with suppliers as well as with colleagues gaining their trust and confidence
