Job Description

Employee Engagement, Learning & Development

  • Ensures that all activities are aligned to corporate vision, mission and values;
  • Drives and leads employee awareness on key trends, developments and important information about the Company or its partners, or the market, thereby contributing to continued organizational development
  • Drives and leads the implementation of PhilInSchool (see attached program outline and brief) across sites, involving timely, efficient and effective coordination with management and the various units of the Company; external consultants or resource persons; and (for facilitation of logistics needed for PhilInSchool) Cebu-based HRCC Officer, administrative representatives per site, and CEO executive assistant;
  • Coordinates in-house and external (ex. IIAP) technical learning sessions with site heads and SBU heads; Facilitates CompBen-related initiatives and activities, across sites, including but not limited to the following:
    • Drives the conduct of periodic/annual performance appraisal and the improvement of the system for performance appraisal, in coordination with the Management Committee, with results of such performance appraisals incorporated in the Annual Capacity Development/Training & HR Activities Plan and Budget for employees;
    • Serves as help desk for employee concerns;
    • Assists in defining/organizing and systematizing the Company salary structure and coordinates any variances or digressions from this with supervisor/management;
    • Ensures that job descriptions are in order, updated, and aligned to the Company’s salary structure and key organizational changes as adopted by the Company;
    • Prepares promotion papers and timely issuance of the same;
    • Via the HRCC.com email address,
      • Monitors and ensures veracity of documents for leave and overtime requests and approvals;
      • Conducts periodic surveys relative to employee welfare, as identified with management;
    • Coordinates with Cebu-based HRCC Officer for CompBen for the proper maintenance and updating Of the following:
      • alpha lists, employee master list with details of basic CompBen information such as SSS, Philhealth, birthdates, work anniversaries, and the like;
      • employee 201 files;
      • Company equipment issued to employees

Note: This requires that (1) accountability forms for Makati employees are executed, maintained and updated; and that (2) there is periodic check of status and use of such equipment (ex. laptop memory usage is coordinated with IT if employees encounter storage issues; malfunctioning cellphones or SIMs reported to supplier or serviceprovider).

  • As an HRCC Officer based in Makati,
    • Drives and leads employee wellness programs (ex. Wellness Wednesdays);
    • Scheduling, coordination and post-documentation of Annual Physical Exam of all employees in Makati Site (note: Cebu and Davao sites to be handled by Cebu-based HRCC Officer for CompBen);
    • Coordinates with Cebu-based HRCC Officer for CompBen, all claims with regard to SSS, Philhealth or other benefits for Makati personnel;
    • Assists in monitoring office space usage/renovations in Makati site (based on recruitment plans);

Corporate Communications & Branding

  • Serves as the “branding curator” of the Company and takes the lead in ensuring consistent branding, veracity, content consistency and responsiveness of communications of Philinsure to both its internal and external clients or stakeholders, specifically by:
    • Regularly updating the Company websites (Philinsure and ERM), email system, corporate materials (hardcopies, e-materials, logos), and other such platforms;
    • Drafting, issuing, tracking, maintaining and safekeeping all internal memos issued by the Company;
    • Helping develop and maintain (store, on file) all promotional/corporate materials such as advertisements, website content, shared or template powerpoint presentations;
    • Monitoring the use and streamlines content for the Company Z drive;
    • Assisting in the execution of sponsored events by Philinsure or other corporate giving;
    • Driving awareness on consistent implementation of Philinsure (and associated) branding guidelines (note: associated branding guidelines includes Arthur J. Gallagher branding, GBN branding);
  • Monitors incoming mail from HRCC email and from we-care email to effectively forward inquiries or other to concerned units;
  • Provides quarterly performance reports to SVP for Finance and Administration/CFO (and CEO, when and where applicable);
  • Maintains all HRCC records in a central file for easy access, when needed;

Administrative Support

  • Coordinates logistics for all HRCC-supported or for specific HRCC-led events for the Company by:
    • Coordinating with suppliers for proper and timely execution of internal events such as annual team buildings, kick-offs, and the like;
    • Coordinating with suppliers for proper and timely execution of external events, as assigned or defined with the team and management;
    • Ensuring that procurement is systematically done with proper canvassing of at least three (3) suppliers;
  • Maintains database of suppliers and key contacts;

Others

  • Is responsible for any additional duties or responsibilities that may be assigned to him/her in line with organizational development and human resource management.
