Job Description

  • Source for suppliers and gathers information about products to be ordered.
  • Compare prices, specifications, and delivery dates to determine the best bid among potential suppliers.
  • Select and recommend which suppliers the company will work with and initiates relationship.
  • Prepare and generate purchase orders based company requirement.
  • Review requisition orders to verify accuracy, terminology, and specifications and send copies to suppliers and to departments originating requests.
  • Prepare bid invitations and disseminate to suppliers and other necessary channels.
  • Calculate costs of orders, and charge or forward invoices to appropriate departments.
  • Prepare, maintain, and review purchasing files price lists.
  • Coordinate with suppliers to schedule or expedite deliveries and to resolve shortages, missed or late deliveries, and other problems.
  • Use all resources available to ensure just-in-time purchasing whenever possible.
  • Perform buying duties when necessary.
  • Check shipments when they arrive to ensure that orders have been filled correctly and that goods meet specifications.
  • Periodically review reorder points to ensure they are adequate and recommend adjustments when needed.
  • Recommend promotional, seasonal, and opportunistic buys outside the reorder points. (if any)
  • Maintain vendor relationships, ensuring best pricing and order preference is received.
  • Monitor contractor performance, recommending contract modifications when necessary.
  • Continuously search for new suppliers to update, expand, and improve quality of existing database.
  • Stay current in industry and market trends to improve overall output of purchasing process (ex. discover new cost-saving technologies or alternative goods, monitor price fluctuation of commodities).
  • Maintain knowledge of all organizational and governmental rules affecting purchases, and provide information about these rules to organization staff members and to vendors.
  • Coordinate with Warehousing and Inventory Clerk, and requesting departments to ensure effective performance of tasks.
  • Assists with annual physical inventory and periodic inventory counts when necessary.

Minimum Qualifications

  • Bachelor’s Degree in Finance Management, Business Administration, or related field of study.
  • 2-4 years of experience in Procurement/Purchasing or Supply Chain Management
  • Preferably in the Commercial or Non-Commercial Foodservice Industry
  • Proficient computer skills (ex. Microsoft Excel, PowerPoint, and Word)
  • Excellent written and verbal communication
  • Good analytical and problem-solving skills
  • Excellent negotiation skills
  • Detail-oriented and highly organized
  • Must be highly adaptive and resourceful
  • Must be proactive and a self-starter
  • Must work well under pressure and cope with fast-paced environment
  • Good team player
