Medical Records Manager  

Job Summary: Oversees the hospital's medical records department, ensures the security and privacy of patient records, and manages databases of these records.

Tasks:

• Ensures that medical records are maintained according to standards in the hospital industry.
• Ensures that medical records are maintained in accordance with applicable laws and regulations.
• Leads in the implementation of policies and procedures regarding processing and confidentiality of patients’ records.
• Participates in the development &/or evaluation of automated medical records and digital archiving systems and leads the department in its computerization projects.
• Liaises with the Medical Consultants/Doctors and the Nursing Services with regards to their concerns pertaining to Medical Records.
• Plans, directs, and evaluates the work of the medical records staff; counsels and disciplines staff.
• Interviews and recommends staff to be hired; trains new staff and updates staff on changes in regulations or policies.
• Responsible for staff training in medical records tasks and leadership roles.
• Attends committee meetings pertaining to Medical Records and other hospital meetings.
• Fosters healthy interdepartmental relationships.
• Whenever needed, assists physicians, administration, employees and others in their problems, requests and needs as far as these are related to the Medical Records Department.
• Prepares the annual budget for approval.
• Assumes responsibility for healthy storage and filing areas which make records’ retrieval pleasant.
• Assumes responsibility for the prompt endorsement of a “Subpoena Duces Tecum” to the Hospital Medico-Legal Officer.
• Coordinates with concerned agencies – Department of Health (DOH), Philippine Medical Records Association (PMRA), and Bureau of Records Management and National Archives for the organization and disposition of the medical records.
• Delegates necessary authority so that all functions of the department may be carried out efficiently.
• Oversees all reports required by Management and DOH.
• Prepares official correspondence pertaining to medical records of patients treated in the hospital.
• Performs other tasks as needed.

• Holder of any BA or BS 4-year degree;
• At least 5-7 years supervisory/managerial work especially in administration;
• Masters/Doctoral degree a plus;
• ICD-10 Code Certified;
• Competent with computers especially database management;
• Strong analytical and planning skills;
• Good communication and presentation skills;
• Excellent problem-solving skills.
