Job Description

The position is responsible for:

  • Arranging all the documentation requirements of the seafarers
  • Assisting in administering the deployment of seafarers

DUTIES AND RESPONSIBILITIES

Scanning and documentation

  • Update eCrew based on personal information and other necessary requirements.
  • Endorsement of Black Folder of Sign-Off crew with line-up.
  • Requesting of Black Folder Arrangements to Crew Support for joining crew.
  • Scan documents crew documents after receiving Black Folder from Crew Support
  • Scanning of documents received from Third Party after receiving Black Folder from Crew Support.
  • Updating all Panning Tools in time.
  • Updating the team regarding the document status

Processing of Flag State Requirements

  • Request / Prepare Flag State requirements of seafarers (e.g. NIS, IOM, Swedish mustering, CRA’s endorsement etc.)

Training Coordination

  • Request booking of seafarers to Training Department for mandatory trainings in accordance to competence matrix

Crew Coordination

  • Ensure all documents are valid prior departure of seafarers
  • Prepare POEA contract and ensure SRC and pertinent information are valid before submitting
  • contracts to Processing Department
  • Assist seafarers in upgrading and renewal of their documents (MARINA, NBI, medical etc.)
  • Coordinate with Visa & Travel Department regarding requirements needed for seafarer’s visa application
  • Monitor flight bookings and keep seafarers updated regarding schedule
  • Prepare Breakdown of Wages and Allotment Summary of Seafarers
  • Order working gears and issue to seafarers before departure
  • Send request for joining crew requirements (1. Letter of Guarantee (LOG) 2. OK to Board (If VISA is not needed or VISA on arrival) 3. Joining instruction )
  • Dispatch seafarers according to schedule

Minimum Qualifications

  • Experience in processing crew documentation (an advantage)
  • At least a graduate of any Bachelor’s Degree
  • Strong analytical and planning skills;
  • Good communication and presentation skills;
  • Excellent problem-solving skills;
